Job Title: Administrative Assistant, Athletic Director
Reports to: Athletic Director
Dept.: Athletics
Exemption Status: Non-Exempt
Work Calendar: 226 days
Pay Grade: CP6
Primary PurposeOrganize and manage the routine work activities of an administrative department office and provide clerical
services to the department head and other staff members.
Qualifications: Education/Certification:
  • High School Diploma or GED
Special Knowledge/Skills
  • Proficient skills in keyboarding, word processing, and file maintenance
  • Effective communication and interpersonal skills
  • Basic math skills
  • Ability to use personal computer and software to develop spreadsheets and databases and do word processing
Major Responsibilities And Duties
  • Maintain up to date practice and game schedules for all school athletic events
  • Prepare and send out, “Week at a Glance.”
  • Notify appropriate administrators of game changes, updates or cancellations
  • Answer and direct phone calls
  • Greet and direct visitors
  • Maintain files for campus Athletic Coordinators
  • Maintain Inventory, distribute, and stock supplies for athletic office
  • Open and process mail
  • Reserve and gather all athletic travel plans for processing
  • Maintain computer and hard copy records/file as assigned
  • Reserve meeting rooms, coordinate material for those attending, make necessary food arrangements
  • Schedule meetings, appointments, and maintain calendar for Campus Athletic
Coordinators
  • Participate in staff development training programs to improve job performance
  • Participate in meetings and special events as assigned
  • Assist in the preparation and implementation of the Athletic Department budget.
  • Maintain the schedule of building facilities with the appropriate building administrators.
  • Maintain UIL Eligibility PAPF forms and records of as they pertain to athletic competition
  • Assist in the Athletic Department in maintaining clean organized athletic facilities
  • Organize and complete scheduling for Security, EMS and Event Workers for all athletic competitions for all athletic competitions
  • Assist in the supervision of athletic competitions
  • Prepare the press releases necessary for the purchase of season tickets for athletic competitions and the ordering and selling of those tickets
  • Organize individual pay vouchers for all officials, security, EMS and event workers
  • Provide assistance to all coaches, teachers, and other Health, PE, and Athletic Department staff and to other Athletic Directors and other duties as needed
  • Monitor and assist with the communication of all social media accounts- athletics
  • Update and maintain all accurate information of the athletic website
  • Maintain athletic calendar for all events associated with our athletic facilities (buildings, rooms, gyms, etc)
  • Maintain key logs and other checked out equipment needed to be returned at the end of the school year
  • Maintain logs of all electronic equipment (athletics)
  • Maintain confidentiality of information
  • Performs other duties as assigned
  • All duties must be performed on site
Working Conditions
  • Tools/Equipment Used: Standard office equipment including personal computer and peripherals
  • Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
  • Motion: Repetitive hand motions, frequent keyboarding and use of mouse; occasional reaching, bending, stooping, kneeling, sitting.
  • Lifting: Frequent light lifting, under 15 pounds; Occasional heavy lifting, over 45 pounds
  • Environment: Normal office environment, numerous phone calls, subject to frequent interruptions and deadlines, requires travel throughout the district. Work must be performed on-site.
Mental Demands: Ability to read, communicate effectively, operate computer, following oral and written instructions, and maintain control under stress.
