Little Sisters of the Poor - Baltimore Province is Hiring a Front Desk Receptionist (Evenings) Near Pittsburgh, PA

Schedule: 2:30pm-11:00pm (5 days a week, every other weekend)

Front Desk Receptionist

JOB STANDARDS:
  • A high school diploma or equivalent with prior administrative support experience.
  • Basic understanding of administrative and clerical procedures and systems.
  • Fundamental competency in Microsoft Office, specifically Excel, Word, and PowerPoint.
  • Excellent oral and written communication skills.
  • Strong customer relationship skills.
JOB RESPONSIBILITIES AND DUTIES:
  • *Greet Residents, Sisters, employees, visitors, and guests; determines the purpose of each person’s visit and directs or escorts him or her to the appropriate location.
  • *Answer, assist, and direct all incoming telephone calls to appropriate parties in a professional and courteous manner.
  • *Receive and deliver accurate messages in a timely and prompt manner.
  • *Report suspicious person/information to supervisor immediately.
  • *Uphold and enforce Home's security plan, sign in and out, monitor surveillance camera and only allow entrance of those recognized.
  • Perform related clerical work such as typing, filing, recordkeeping, and sorting mail distribution.
  • *Use basic applicable software programs to create letters and other business-related documents.
  • Prepare shipping labels and ordering FedEx and UPS pickups and deliveries.
  •  *Accept mail deliveries, documents, packages, and direct to proper personnel or department. Also, expected to prepare mail for delivery and forward donations to the development department.
  • Listen with empathy to Resident and family concerns.
  • *Maintain confidentiality of all Resident, departmental and organizational information to assure that Residents' rights are protected.
  • Keep a current file/listing to include: Residents by name and room number, emergency phone numbers, department extensions, key personnel.
  • *Monitor the activity of confused Residents when they are in the reception area. Contact unit staff if there is any question as to a Resident leaving the building unattended.
  • *Understand fire and emergency procedures, promptly contacting proper authorities, utilizing sound judgment, and remaining calm
PHYSICAL AND COGNITIVE REQUIREMENTS TO PERFORM THE ESSENTIAL JOB FUNCTIONS:
  • Perform simple motor skills such as standing, walking, sitting, etc.
  • The employee frequently is required to use hands or fingers, handle or feel objects, tools, or controls.
  • Remember simple and multiple tasks and assignments given to self/others, ranging from short to long periods of time, concentrate on moderate to fine detail with constant interruption, and attend to a task/function for more than 30 minutes at a time.
  • Visually see up close, at a distance, and adjust focus as needed for the position. 
  • Adequately hear and answer telephone calls, respond to emergency alarms, and communicate effectively with others in English, both in writing, and speaking.
  • Cognitive ability to consistently understand theories behind several related concepts, comprehend, remember, and follow multiple tasks/directions over long periods of time.
  • Occasionally lift and/or move up to 20 pounds.
  • Concentrate on moderate to fine detailed items with sometimes constant interruption.
  • Deal effectively and calmly with stress created by Residents' illnesses, disabilities and the aging process, organizational change, and working cooperatively as part of the health care team.
