Intake/ Administrative Assistant Status: Full-time Join us at Little Spurs! (Overview): Little Spurs Autism Centers is seeking an Intake Coordinator that will work with both our Autism Centers in Leon Springs and Westover Hills. We are searching for a motivated individual who is excited to help make a difference in children’s lives. Working closely with the Clinical Director, this team member will take charge of managing and owning our growing client pipeline and all client intake functions. What You Need (Qualifications):
· High school graduate or equivalent required
Personal Skills: Highly Organized, Collaborative, and Proactive
Experience in Insurance Verification and Insurance literacy
Experience with robust practice management/EMR system, preferably Leading Reach and Central Reach
Computer literacy with both keyboard, printer, and fax machine.
Basic proficiency in English, spelling and arithmetic.
Knowledge of HIPAA guidelines & regulations preferred
Full COVID-19 vaccination is an essential requirement of this role

The Nitty Gritty (Day to Day):
Verify Insurance by contacting insurance companies and communicating financial responsibility to client families, working alongside billing department to ensure all necessary steps have been taken prior to client starting services
Prepare and Manage Initial Assessment Authorization Requests to submit to insurance by collecting necessary information from Intake and client families in a timely manner, be able to provide updates on status of authorizations
Assist Intake Coordinator in Client Outreach by contacting families for Initial Intake via phone and email
Assist Intake Coordinator in management of pipeline by updating families, following up with referral sources, keeping Clinical Director informed, and utilizing Leading Reach proactively
Data entry of relevant client information into Leading Reach
Maintain client records in an organized, HIPPA compliant fashion
Ensures that all required documents are completed and that appropriate signatures are obtained to protect the rights and financial integrity of the patient and the facility prior to client starting services
Follows up with families on any insurance changes
Follows standard procedural guidelines to work with clients, medical records personnel, providers, department personnel, vendors & other clinic office personnel.
