Little Traverse Bay Humane Society is located between Harbor Springs and Petoskey, Michigan, and impacts the lives of thousands of pets within the community through their invaluable programs in addition to veterinary services, boarding, grooming, doggy daycare, and training.

Overview

The Director of Administration will facilitate deep engagement in the mission of the Little Traverse Bay Humane Society and serve as a key member of the Leadership Team. Essential functions include exceptional internal and external customer service, attention to detail, and the ability to uphold high standards of compliance and organization. Working directly with the Executive Director and Leadership Team to set overall organizational policies and priorities, the Director of Administration will consider and analyze the implications of proposed administrative actions and decisions on the whole of the organization. This position will work in partnership with the Executive Director along with the Director of Finance to manage all administrative functions. He or she will play a key role in maximizing the efficiency of the administrative role in defining and implementing the infrastructure/systems needed to support substantial growth. The director will participate in strategic planning, onboarding, professional development initiatives, and compliance standards in support of organizational expansion.

Responsibilities include:

  • Cultivate positive and productive internal and external relationships.
  • Serve as an agency ambassador and point person for employees throughout the organization.
  • Serve as a business partner to the Director of Finance on the organization’s administrative processes-including compliance, risk management, and benefits functions to continuously develop and improve systems.
  • Implement and maintain OSHA standards for the organization as a whole.
  • Maintain all employee benefits, including but not limited to Simple IRA, Health, Dental, Short Term Disability, Life and Vision insurance.
  • Manage the annual employee benefit review and rollout process including facilitating meetings with our providers and appropriate management.
  • Manage and track employee benefits.
  • Maintain and update the employee handbook
  • Organize and facilitate all staff meetings, team building activites, and an annual employee engagement event.
  • Develop and implement a comprehensive onboarding process for new hires.
  • Manage all insurance and unemployement claims.
  • Process payroll
  • Serve as the liason between LTBHS and contracted employees including but not limited to supporting IT.

This is a full time role, 40 hours a week, in person.

Qualifications

Able to maintain an open mind regarding changes and be willing to learn, implement, and teach new protocols. Able to quickly adjust focus and shift priorities based on needs. Able to understand and communicate using appropriate language. Able to work efficiently and calmly under challenging conditions; demonstrate flexibility with work assignments and tasks. Basic computer skills, including Microsoft Office; familiarity with Impromed or other shelter and veterinary software systems a plus. Excellent communication skills, including both written and oral communication. Exceptional customer service and interpersonal skills. Must be able to bend, stand, lift 50 pounds frequently, and engage in repetitive motions.

Previous experience working in an administrative role and in leadership with strategic planning highly desired.
