Littler is Hiring a Facilities Clerk - Part-time (Kansas City) Near Kansas, MO

The Facilities Clerk is responsible for providing administrative and facilities-related support including facility maintenance and general operations of the office(s).
This is a part-time in-office position in Kansas City, MO.
Responsibilities
  • Responsible for daily mail processing and distribution for sorting of incoming mail and delivering to appropriate GSC/Corporate personnel via scanning and emailing. Ensures prompt delivery of all incoming express mail (FedEx, UPS, DHL, USPS Express) and of messenger service deliveries to appropriate personnel. Ensures prompt pickup and delivery of all inter-office mail.
  • Responsible for daily processing of outgoing mail and delivering to building drop-off location or other designated location as determined by the U.S. Postal Service, FedEx, UPS and/or DHL.
  • Accountable for tracking receipt of outgoing express mail and overnight deliveries via vendors’ web-based tracking services.
  • Accountable for determining and maintaining mail controls to protect the safety of confidential mail.
  • Accountable for maintaining appropriate levels of mail related supplies and for the up-keep of all mail equipment.
  • Accountable for keeping the Facilities team informed of issues related to incoming and outgoing mail, including express mail, and issues related to mail equipment.
  • Responsible for accurate and timely photocopying of documents, files, books, or other materials as requested.
  • Responsible for ordering and maintaining supplies including general office supplies and refreshments and related breakroom supplies.
  • Responsible for greeting and accommodating GSC employees ensuring all needs and requests are met with professionalism and a high level of customer service.
  • Responsible for greeting and accommodating internal and external visitors and advising personnel. Accountable for all visitors receiving the proper visitor information including badges and security access, and return of same upon departure, set up of workstations and offices for visitors.
  • Responsible for conference room reservations. Accountable for understanding and coordinating the technology needs of conference room reservations including, conference phone, internet access, and media.
  • Responsible for catering needs of conference room reservations and other meetings including food and beverage orders, setting up food delivery and conference room clean up. Maintains catering kitchen stock and appearance.
  • Responsible for assisting with the neatness and cleanliness of the lobby and reception area including all non-office areas of the suite.
  • Responsible as the liaison with building maintenance for issues including office temperature, light bulbs, and other daily maintenance issues. Tracks building issues, liaison with building cleaning company.

  • Responsible for coding and processing of firm invoices.
  • Responsible for participating in the duties of the Emergency Response Team and building safety.
  • Responsible for participating in the duties of the Events team including event planning.
  • Responsible for new hire facilities orientation, including elevator access requests and parking pass requests as needed.
  • Responsible for auditing and assisting with NFS Booking System.
Qualifications
  • Demonstrated proficiency in MS Office software including Word, Excel and Outlook.
  • Understanding of U.S. Postal Service and express mail service (FedEx, UPS, DHL, USPS Express) processes and procedures.
  • Demonstrated ability to use web-based express mail services (FedEx, UPS, DHL, USPS Express) to process and track deliveries.
  • Demonstrated ability to operate mail equipment provided by U.S. Postal Service and Pitney Bowes or similar vendor.
  • Demonstrated ability to accurately and timely process all types of mail including first class mail, standard mail, certified mail, flats, parcels, presorts, priority mail, express mail, package services, and international.
  • Understanding of the operations of a law firm or other professional services firm.
  • Understanding of NFS Booking System a plus.
  • Ability to lift and carry boxes of up to 30#.
Education And CertificationsRequired: High School Diploma or equivalent.
Hours Required: 20 – 25 hours per week with the ability to cover 40 hours per week as needed.
ExperienceMinimum of one (1) year office administration with related mailroom work experience.
Experience in a law firm or other professional service organizations a plus.
