STATE PROFILE SUMMARY:Under general supervision, performs a wide range of office administration duties for assigned functions or program areas, duties may be complex in nature and may involve access to confidential information. May research, investigate, and/or resolve program data or issues. Drafts documentation, reports, or presentations. Represents program or unit, provides information and assistance to internal and external customers.

 

JOB RESPONSIBILITIES:

·Under general supervision, independently performs complex para-professional tasks requiring specialized knowledge in a program area.

·This position will be the first point of contact for the office on telephone calls and visits, must provide Quality Customer Service as well as always maintaining a professional image.

·Serve as an assistant to a higher-level administrative manager, which provides a variety of routine and non-routine clerical services for Statewide Location Bureau and its clients. Working with the senior managements and staff in identifying issues and resolving problems.

·Will serve as a fleet coordinator for Statewide Location Bureau motor pool and assigned vehicles.

·Responsible for preparing, receiving, reviewing, filing, of Statewide Location Bureau correspondence for mapping and survey work.

·Responsible for distributing mail, disseminating information to staff, clients and to the public.

·Effectively communicate with internal and external customers verbally and in writing.

·Proof reading for proper grammar, punctuation/spelling.

·Gathers organize, research, evaluate, and maintain information.

 

MINIMUM QUALIFICATIONS

The selected candidate must meet the advertised minimum qualifications to include State Entry Qualifications as well as Agency Specific Minimum Qualifications

 

STATE ENTRY QUALIFICATIONS:

·High School diploma/ GED and three (3) years of job-related experience.

OR

·One (1) year of experience required at lower-level Admin Assistant 1 (GST050) or position equivalent 

AGENCY SPECIFIC QUALIFICATIONS:

·Three or more years of experience in the area of assignment.

·One years of experience in reviewing technical documents and/or reports such as financial documents or other sensitive files.

·Three years of experience using software applications such as Microsoft Office (Word, Excel, Outlook, Access)

·One year of experience with People Soft Financials

·One year of experience ordering office supplies

·Three years of experience proof reading documents

 AGENCY PREFERRED COMPETENCIES: (KSAs)

·One year of experience with Bentley ProjectWise; Georgia Asset Management(GAMS)

·Experience in reviewing and analyzing technical documents and/or reports such as financial documents and other sensitive files.

·Demonstrated knowledge of the Department's programs, policies, and procedures as it relates to advertised position.

Actions that may disqualify an applicant include letters of reprimand (active for 12 months after issuance date); suspension without pay or disciplinary demotion (active for 12 months from the effective date); Performance Improvement Plans (PIP) and Leave Restriction Plans (active until 12 months after the date of conclusion). In addition, an employee must have an overall ePerformance rating score of three (3) or higher on their most current evaluation. Please note that Memorandums of Concern are not considered disqualifying factors. Human Resources may remove any employee from consideration for selection who is pending a disciplinary action; however, if the action is resolved in the employee’s favor, he or she will be allowed to compete.
