Lockton is Hiring an Executive Assistant and Events Coordinator Near Minneapolis, MN

Your ResponsibilitiesDescription:
  • Coordinates with all series offices for event and associate activity planning.
  • Plans all Minneapolis office events including, but not limited to, office Christmas party for approximately 100 people.
  • Facilitates internal & external communication utilizing workplace, LinkedIn, and other networking platforms.
  • Provides back up support for main reception, local IT trouble shooting and document printing.
  • Completes office errands, which may require driving.
  • Composes and prepares a variety of correspondence, reports, and internal documents in support of producers existing and new business development activities.
  • Conducts research of prospective companies and prepare executive prospect summaries.
  • Performs data entry of contacts/prospects and perform mail merges for marketing mailings.
  • Conducts follow-up calls to ensure information was received.
  • Assists in coordinating the production of responses to requests for proposals (RFP’s) using internal and external resources.
  • Receives, reads and is proactive in handling daily mail and email as directed by producer s , and initiates action on items requiring immediate attention.
  • Meets with producer s as needed to provide update on current work assignments.
  • Manages the new business production reports for producer s .
  • Maintains files of correspondence and other records.
  • Answers telephone, answers questions or refers calls to appropriate department or individual.
  • Plans conferences and meetings.
  • Actively manages CRM or related systems for producer s .
  • Makes travel arrangements and various business appointments for assigned producers.
  • Keeps calendar of appointments and suspense systems for producers as requested. Proactively helps producer s manage preparations for upcoming meetings.
  • Process expense reports using knowledge of client/prospect activity and ensure timely reimbursement to the Producer.
  • Protects the confidentiality of information learned by performing the duties of the position.
  • Plans producer conferences and meetings.
Qualifications
  • Bachelor’s degree in marketing, general business or equivalent education or experience preferred.
  • Two years professional experience performing event coordination and executive-level sales support or similar administrative experience in a corporate environment.
  • Proficiency in the use of Microsoft Office, including Word, Excel, PowerPoint and Access.
  • Advanced skills with email and calendar systems such as Outlook.
  • Experience with internet, including knowledge of LinkedIn, Facebook and other social media for the purposes of professional networking.
  • Experience using a CRM system such as Salesforce (preferred.)
  • Ability to organize and prioritize work and to meet deadlines.
  • Organizational and time management skills to prioritize busy workload to meet time sensitive deadlines.
  • Strong verbal, written, analytical and interpersonal skills.
  • Firm, fluent grasp of the English language with high level verbal, written, listening, and interpersonal skills to interact with associates at all levels of responsibility.
  • Demonstrated ability to instill confidence and comfort with co-workers.
  • Ability to make decisions in compliance with established company standards of quality performance and service.
  • Appropriately assertive personal presence to interface with clients, associates and other individuals, in both one-on-one and group situations, representing Lockton in the highest professional manner.
  • Strong value of service to others.
  • Ability to perform simultaneous multiple tasks with ability to respond and refocus quickly.
  • Ability to travel by automobile and aircraft and to stay for more than one day and night in commercial lodging facilities.
  • Ability to complete continuing education requirements as needed
  • Ability to attend company, department, and team meetings as required, including industry training sessions
  • Ability to comply with all company policies and procedures, proactively protecting confidentiality of Client and company information
  • Ability to efficiently organize work and manage time in order to meet deadlines
  • Ability to travel by automobile and aircraft
  • Ability to use office equipment such as a computer, keyboard, calculator, photocopier, and facsimile machine
  • Ability to work on a computer for a prolonged amount of time
  • Ability to work outside of normal business hours as needed
  • Legally able to work in the United States
