Title: Ass istant Director of Sponsored Projects
Reporting to the Executive Director of Sponsored Projects , the Ass istant Director of Sponsored Projects provides planning, assistance , and support to faculty, administrators, and staff in all areas of sponsored research in pre-award and non-financial post-award. The A ssistant Director will assist with providing support for sponsored research administration.
Principle Responsibilities
  • Responsibilities include but are not limited to pre-award grant development, budgeting, and proposal submission .
  • Develops and maintains a p roposal submission structure that facilitates the submission of grant applications aligned with the LIU2030 Strategic P lan.
  • Maintains the Pre-Award inventory list of all active grants.
  • Manages the various registries and other electronic proposal award and submission websites to assure eligibility and compliance.
  • Analyz es and summariz es the potential of various federal and state, and upon occasion, private foundation funding opportunities.
  • Provide s leadership and coordination for teams of individuals, faculty staff, and/or administrators, during the pre-award submission process .
  • Meeting with PIs and Deans to review initial budgets to meet sponsor guidelines. R eview s and approv es research proposals; ensure s compliance with LIU research administration policies .
  • A ssist s with preparing internal Pre-award reports as needed, review s and ensur es timely processing and submission of information relating to sponsored activity .
  • Advise and assist staff in all compliance and matters pertaining to allowable efforts on the initial budget creation (e.g., from the proposal stage and to the project being JIT awarded).
  • Maintain s funding opportunity databases and track s pending awards; track s deadlines to ensure proposals are submitted on time; track s when subawardees /subcontractors or grantees (“sub - recipient”) are required to submit reports, requests, or renewals ; prepares reports as needed.
  • Responsible for initiating the Chartfield Maintenance Form, Award Data Capture Form, and Budget Template.
  • Identif ies financial issues and risks and develop s strategies to mitigate them. This may include completing templates, reporting checklists, training, communication, etc.
  • Review s and approve s i nvoice v ouchers and personal payments to ensure appropriate supporting documentation is attached.
  • Maintain s proper fiscal data entry and administrative controls and ensure s all funds are expended in accordance with LIU and sponsor policy and procedures.
  • Monitor s Notice of Award budgets related to expenditures and provide s accurate projections of awards to ensure compliance .
  • Complete s all sub - recipient risk assessment tasks and support s the development of subrecipient agreements.
  • Determine s whether amendments to existing sub-agreements are needed (time extensions, budget revisions, etc.) ; d evelop s the amendment for review by Executive Director and other pertinent staff and f acilitate s execution by sub - recipient.
  • Stays up to date with laws, regulations, external and internal policies, and procedures governing grants and cooperative agreements administration .
  • Supervise s support staff as needed .
  • Assist s in administration of individual account roles in sponsor portals .
  • Special projects as assigned.
Additional Resp Onsibilities
  • Position necessitates self-direction.
  • Supervises a group of related functions with line authority.
  • Maintains university-wide access to data such as employee salaries and benefits ; mandatory confidentiality required .
  • Involves frequent contact with faculty, staff, sponsoring agencies, and senior administrators.
Qualifications
  • Bachelor’s degree required ; Master’s or advanced graduate degree preferred. Preference is given to candidates with a C ertified R esearch A dministrator designation , and/ or experience working with Sponsored Research administration , and/or clinical trials , and /or experience working with NIH, NSF, DOD, HRSA, FDA and other federal funding agencies.
