SUMMARY:

The Scheduler requires the ability to be resourceful and creative in their approach to issues regarding the daily provider’s schedule. The appropriate person within the team needs to be identified to help resolve problems quickly and efficiently. The Scheduler is responsible for all aspects of patient scheduling in accordance with departmental scheduling guidelines. Demonstrate Christ-like behavior and attitude in all job duties and responsibilities.

ESSENTIAL DUTIES AND RESPONSIBILITIES include:

· Work in uniformity with assigned Medical Department staff when creating templates for daily production schedules for providers.

· Ensure that all provider's schedules are current and up to date.

· Complete change requests on daily schedules, agendas, and calendars in a timely manner.

· Maintain schedule uniformity according to the color system. 

· Maintain schedules for same day access, huddles, site meetings, clinic closures and providers vacations, etc.

· Input correct data in eClinicalWorks.

· Assist in resolving scheduling conflicts as they occur.

· Set patient visit slots within the proper timeframes as established by LACHC. 

· Identify gaps between provider availability and patient needs, working with Clinic Site Managers for staffing solutions.

· Facilitate same-day care, coordinating with appropriate departments, individuals, and providers as appropriate.

· Communicate with the Data Analyst daily regarding any changes made to the schedule.

· Other duties as assigned.

· Float in Clinics at the direction of the Supervisor 2 days per Week

· Cover Call Center as needed.

· Call and Schedule patients for patient follow-ups, etc.

· Support empanelment efforts

 QUALIFICATIONS :

To perform this job successfully, an individual must be able to accomplish each essential duty satisfactorily. The following requirements represent the required knowledge, skill, and/or abilities. · Excellent communication and organizational skills

· Clerical or administrative experience preferred.

· Detail-oriented.

· Knowledge of healthcare terminology helpful

· Basic computer program knowledge

· Prior Patient Access and scheduling experience required

· Ease and comfort in communicating with providers.

· Ability to function as an integral member of the team

· Demonstrate ability to carry out complex scheduling as required.

· Ability to multi-task and solve problems on the spot.

EDUCATION and/or EXPERIENCE:

High school diploma or GED. Minimum 2 years working in the areas of health promotion or community work required.

COMPUTER SKILLS: Computer proficiency required, including the ability to enter data with speed and accuracy

LANGUAGE SKILLS: English fluency is required. Spanish is preferred.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY

Ability to apply principles of logical or scientific thinking to a wide range of intellectual and practical problems. Ability to deal with nonverbal symbolism (formulas, scientific equations, graphs, musical notes, etc...) in its most difficult phases. Ability to deal with a variety of abstract and concrete variables. 

CERTIFICATES, LICENSES, REGISTRATIONS

California Driver License; valid insurance. CPR Certification is required.

PHYSICAL DEMANDS

WORK ENVIRONMENT

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually moderate but may occasionally be high at times. Working conditions are normal for an office environment. Work requires extensive work using a computer. While performing the duties of this job, the employee will be exposed to carriers of contagious diseases. The employee may have to deal with irate and irrational clients who may or may not be under the influence of mind-altering substances such as cocaine, marijuana, alcohol, etc.
