Job Overview:
We are seeking a dedicated Customer Service Representative to join our team at Loudoun Urgent Vet (LUV) in beautiful Leesburg, VA. Our CSRs are the first and last impression at our highly rated Veterinary Urgent Care where our team is caring, compassionate and well trained. As a Customer Service Representative, you will play a crucial role in providing exceptional service to our clients and patients and facilitating communication between clients, veterinary staff, and management. Candidates must be comfortable and confident on the phone, have at least 1 year of experience working in a veterinary clinic and be used to a fast-paced environment. Candidates should show a willingness to learn, be able to problem solve, work well as a team member and always be kind, friendly and compassionate to clients in their most stressful of times with their beloved pets.
LUV is looking for the right candidate to fill the following shifts:
**Tuesdays and Wednesdays 3p-10p and Saturdays 10a-10p.**
Responsibilities:
- Deliver outstanding customer service to clients visiting the clinic.
- Attend to the needs of both clients and their pets with care and attention.
- Handle clients with empathy and understanding, especially in emotional situations.
- Assist distressed or upset clients with patience and professionalism.
- Manage incoming phone calls from clients and direct them appropriately.
- Greet and check-in clients upon arrival at the clinic.
- Ensure smooth client flow from check-in to discharge.
- Coordinate scheduling and manage appointment flow efficiently.
- Conduct client follow-up calls as necessary.
- Facilitate record requests with other veterinary hospitals and specialty practices.
- Aid in maintaining cleanliness of the clinic, including reception area and lobby.
- Process payment transactions accurately.
- Maintain electronic medical records with precision.
- Relay pertinent information between clients, doctors, and management effectively.
- Proficiently utilize Windows-based computer systems; experience with Veterinary practice management software is advantageous.

- Capability to multitask and prioritize tasks effectively in a fast-paced environment.
- Display empathy and patience when interacting with customers, especially pet owners.
