Job Description:
Job Summary- The Supplier Engagement Specialist (SES) supports the university's programmatic mission in the conception, planning and development of outreach events and activities to increase awareness and engagement of small businesses. The SES assists in tracking supplier utilization, identification and referral of suppliers, and assists in tracking and compiling statistical information, in both reporting and real-time status, of the university's program performance efforts. This position may be eligible for flexible work arrangements with the possibility of a hybrid-remote work schedule within the State of Louisiana.
Job Responsibilities:
35%-Outreach & Engagement: Assists Assistant Director of Supplier Engagement (ADSE) with collecting data, maintaining spreadsheets, meeting agendas, and representing Supplier Engagement (SE) in meetings; Attends community events related to economic development and procurement; Assists in the improvement of department processes, policies and procedures to minimize supplier barriers/obstacles to procurement opportunities; Coordinates scheduling of meetings to connect with targeted suppliers and facilitate introductory discussions with key campus stakeholders and affiliates; Participates in department training to staff, campus departments and suppliers; Prepares and distributes weekly newsletter to targeted suppliers to communicate open bid opportunities, events and ways to engage; Works collaboratively with the Office of Communications and University Relations and adheres to the standards set therein. Required to travel, primarily local, to other campuses for training/events or non-LSU meetings/conferences to represent department. Overnight travel may be expected.
30%-Project Management: Assists in development of short and long term plans, including establish annual goals and objectives with the support and collaboration of the AD; Assists with review of data and preparation of department reports/deliverables; Coordinates input and review of data in various software programs and systems; Organizes, tracks and communicates SE data, key performance indicators and insights; Researches, applies, and promotes supplier engagement initiatives and best practices; Supports AD in acquiring quarterly data and tracking progress.
10%-Administration: Organizes contact information for LSU institutions including department heads, campus procurement buyers, and facilities project managers; Orders and manages inventory of department equipment and promotional supplies; Maintains and distributes contact list of suppliers connections at specific events with key stakeholders.
10%-Customer Service: Handles direct and general calls and email inquiries relative to SE; Performs the identification, outreach and engagement of targeted suppliers in the procurement of supplies and services; Provides assistance/guidance to suppliers with registration and certification information.
10%-Event Management: Coordinates collection of event feedback including administration of surveys, conducting interviews, focus groups etc. to enhance future activities; Manages and supports internal SE events including focus, logistics, and marketing.
5%- Other: Performs miscellaneous other department duties as assigned by the supervisor & Assistant Vice President for Procurement, Property Management & Supplier Engagement.
Additional Information: This job operates in an office setting and is primarily a sedentary role. Travel is primarily local; however some overnight travel may be expected.
Minimum Qualifications: Bachelor's degree. Strong communication (verbal and written) and interpersonal skills. Advanced in Microsoft Office (Word, Excel, Outlook, PowerPoint). Ability to exercise strict confidence in handling sensitive information. Ability to relate to a wide variety of people and to observe, listen, motivate and provide guidance. Ability to work independently, prioritize and manage workload efficiently and communicate when help is needed.
Minimum Certifications/Licenses: Valid driver's license
Preferred Qualifications: Bachelor's degree in Marketing, Business, Public Administration or related area with 1-2 years of experience with Knowledge of procurement/purchasing best practices. Knowledge of current local business community, especially as it pertains to small business economic development. Excellent communication (verbal and written) and interpersonal skills. Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
