OFFICE COORDINATOR / ASSISTANT

The Office Coordinator is responsible for promoting a positive office culture and maintaining the overall flow of the office. Main duties include organizing, booking meetings/conferences, ordering office supplies, and being on top of rules and regulations. The Office Coordinator will work to keep the office organized by supporting the needs of the entire office staff. Must have strong organizational skills. This role is responsible for a wide range of duties related to the hiring process, internal company events, and day-to-day office life. 

Full-Time Position - Onsite 

Starts at: $25-$29 per hour based on experience.

Responsibilities

Assistant to Owner

  • Tracking schedule and other supporting tasks.

Office

  • Greet guests, answer, screen, and forward incoming calls, and direct visitors to the right person 
  •  Maintain efficiency within the office by establishing the best policies, standards, and procedures for the company/departments 
  • Mail/Packages Sort and Distribute
  • Coordinate Truck Deliveries with Shop
  • Orders – To list a few:

Office Products/Cleaning Supplies, T&M, and Equipment Books

Field Shirts, Vest, PPE’s, Logo Decals

  • Coordinate Maintenance for Copiers & Plan Printer
  • Handle Water Deliveries & Fuel Deliveries
  • Organizing various office-related documentation including sensitive client/employee files
  • Data Entry – Assist Accounting Dept 

Business License 

Safety - Admin

  • Keep track of all safety reports
  • Training Schedule
  • Click Safety – Individual Training
  • Reminders on training
  • Compliance – Fed Drug and Alcohol, OSHA
  • JHA Record Keeping

Incidents/Accidents

Insurance - Health, GL, Auto, WC

Auto/Equipment 

  • Update Assets List / Scanning and Save Documentation
  • Insure, Register, Etc. New Assets
  • Registration Renewals
  • Federal Drug & Alcohol Testing Program (Random Drug Testing)
  • Reporting: DOOR, CARB, Trucks, PERP, Clean Truck Check Program, Motor Carriers Permit, Filing Form 2290 (For Vehicles over 55K Lbs.), etc.

Qualifications

  • Proficiency in Microsoft Office suites and other office technology 
  • Comfortable working in a fast-paced environment 
  • Strategic planning and business development skills 
  • Experience planning events for internal staff and vendors 
  • Team player and Self Sufficient
