Program Coordinator - OB/GYN

Position Objective:

Directly support the Chair, Program Director, and Executive Director of GME by ensuring compliance with all regulatory requirements, accreditation standards, and hospital policies.

Essential Job Duties:

Program Support:

  • Collect, maintain, and report program data (duty hours, procedure logs, evaluations, policies, surveys, trainee files).
  • Assist in budget and resource planning.
  • Facilitate faculty development initiatives.

House Staff Administration:

  • Provide direct administrative support to house staff.
  • Coordinate accreditation site visits and prepare necessary documentation.
  • Maintain and optimize the Residency Management System (RMS) for trainee portfolios and accreditation purposes.

Recruitment and Onboarding:

  • Manage the complete recruitment process, including applications, interviews, and match deadlines.
  • Coordinate onboarding for house staff, visiting staff, students, and observers.
  • Organize house staff curriculum, rotation/block schedules, call schedules, and conference attendance.

Event Coordination:

  • Plan and coordinate departmental events (recruitment, orientation, graduation, retreats, faculty development).
  • Proctor exams and monitor compliance with learning resources.

Evaluation and Communication:

  • Support the departmental evaluation process for trainees, program, faculty, and rotations.
  • Take and maintain minutes for committee meetings.
  • Maintain and update the program website and other electronic resources.

Educational/Experience Requirements:

  • Three years of healthcare experience, including work in a residency program.
  • Bachelor’s degree from an accredited college or university (eight years of healthcare experience may substitute for education).
