We are seeking a professional Administrative Coordinator to provide support to the Director, Managers, Supervisors, Contract Physicians and Therapists in the LFCS Behavioral Health Department. This position will be responsible for ensuring that all of the BH administrative responsibilities are coordinated and completed in support of the department to ensure business continuity, seamless communications and optimal client services.

Duties
  • Responsible for Psychiatry client file management following LFCS protocol to include: initiation, organization, completeness and storage.
  • Provide administrative coordination and support for contract Psychiatrists and their clients to include: processing new referrals, scheduling appoints, making reminder calls and prescription refill management.
  • Provide Psychiatry Program administrative support by ensuring complete case notes/documentation, ensuring outcome measures are being completed and ensuring physicians file accurate monthly invoices.
  • Assist BH leadership team with meeting minutes, data entry, scheduling, research, preparing reports and updating/disseminating program marketing materials as needed/assigned.
  • Provide general administrative support for Behavioral Health Department staff: mail distribution, manage office space schedules, supply orders and ensure BH work areas are stocked and organized.
  • Responsible for weekly review and follow up communication to ensure proper documentation is accurately uploaded into LFCS’ electronic medical record and therapists are notified of forms received in a timely fashion.
  • Respond to record requests in coordination with the Director of Behavioral Health.
  • Provide coverage for the front desk as scheduled/needed.
  • Responsible for the weekly review of billing reports to compare to Therapists’ schedules to ensure all sessions have been entered on time and accurately for billing to run and coordinate with the Accounting Department to ensure billing is competed.
  • Assist the Director of Behavioral health with the creation and distribution of contracts and MOUs.

Qualifications
Must have a minimum of a High School Diploma with 2 years of relevant experience.

Preferred Qualifications
A Bachelor’s Degree in a relevant field is preferred along with 2 years of experience working in social services. Knowledge of mental health is preferred.
