Overview:

Marc Jacobs International, powered by the creative genius of Marc Jacobs, seeks a Temp – Administrative Assistant, Store Planning, to join the Global Retail Visual Merchandisingteam based in its New York City (SoHo) headquarters.
The Global Store Design Coordinator is responsible for administrative and financial workflows within the department, playing a pivotal role in the brand's growth by managing vendor relationships, analyzing invoices, and ensuring cost efficiency. Collaborating closely with the finance department, this role ensures seamless coordination of projections and internal processes

RESPONSIBILITIES:

  • Onboard new vendors into our Medius system, ensuring smooth integration and compliance with company protocols.
  • Receive, review, and approve invoices, maintaining accuracy and timeliness in payment processing.
  • Coordinate supplier payments in accordance with established payment terms, fostering positive vendor relationships.
  • Run and update US and Global invoice tracking systems to ensure alignment with yearly budget objectives.
  • Develop vendor approval forms and capex approval forms, streamlining approval processes and documentation.
  • Coordinate agreements and contracts with consultants, vendors, and finance teams, ensuring contractual compliance and clarity.
  • Communicate with suppliers/vendors for all administrative and accounting requirements, facilitating effective communication and problem resolution.
  • Ensure adherence to vendor contracts/agreements with legal, mitigating risks and ensuring legal compliance.
  • Maintain the master file on teams, ensuring accessibility and organization of key project documents and information.
  • Update project status, schedules, and calendars regularly, facilitating effective communication and coordination among project stakeholders.

QUALIFICATIONS:

  • Bachelor’s degree in finance or a relevant field strongly preferred.
  • 2 years of experience in administrative or financial roles within Store Design or a related field.
  • Exceptional organizational skills with a strong attention to detail.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with the ability to build effective relationships across teams and departments.
  • Proficiency in budgeting, financial analysis, and report generation.
  • Strong problem-solving skills and ability to work well under pressure.
  • Ability to adapt to changing priorities and thrive in a fast-paced environment.

SALARY & BENEFITS/WHAT WE OFFER:

The compensation for this position ranges from $20-$25(hourly). The rate of pay offered will be dependent upon candidate’s relevant skills and experience.
