We are looking for a dedicated Customer Service Representative to join our team in Mt Olive, NJ. In this role, you will interact with various departments, including Planning, Production, Purchasing, QC, and Shipping, to ensure our customers' needs are met efficiently and effectively.

Key Responsibilities :

  • Handle orders from customers, sales representatives, and customer portals.
  • Use multiple computer systems to enter and retrieve order information.
  • Perform invoicing functions through various portals.
  • Ensure customer requirements are met and provide prompt responses to inquiries, complaints, returns, credits, and shipment tracking.
  • Solve service issues by coordinating with different departments to gather necessary information.
  • Maintain and update customer information in the database.
  • Troubleshoot and resolve customer issues, including complex and key accounts.
  • Act as a liaison between sales representatives, customers, and internal departments to coordinate ship dates, quantities, special instructions, credit requests, product returns, and adjustments.
  • Ensure high levels of customer satisfaction and communication throughout the order process.
  • Perform additional duties as assigned by management.
  • Attend training sessions, meetings, and local travel to customer sites for computer / portal training as needed.
  • Manage file creation and purging.
  • Understand and execute requirements for ISO 9001.
  • Remain accountable for responsibilities defined by ISO 9001 process flows.

Requirements / Certifications :

  • 3 to 5 years of experience in the fragrance industry.
  • Proficiency in administration and documentation procedures.
  • Excellent interpersonal, listening, and communication skills (both verbal and written).
  • Strong knowledge of customer service principles and practices.
  • Familiarity with relevant computer applications.
  • Proficiency in numeric, oral, and written language applications.
  • In-depth product knowledge and data collection / ordering skills.
  • Superior telephone manners, communication, interpersonal, and organizational skills.
  • Ability to effectively communicate information via telecommunication and respond to questions from managers, clients, customers, and the public.
  • Advanced knowledge of ERP systems / Oracle, Microsoft Word, Excel, Access, Procis, and Outlook.

Pay and Schedule :

  • Monday to Friday
  • 8 : 00 AM to 5 : 00 PM
