GENERAL DESCRIPTION
Under direction of the President/CEO, the Executive Assistant performs advanced clerical and administrative functions for the Executive Director, utilizing various computer software and agency procedures; executes correspondence and reporting supports for the Executive Director, ensuring the needs of all departments are met and the standards for quality, quantity, time lines, and confidentiality are met in accordance with local, state and federal laws; licensure/certification/accreditation standards; and agency policies and procedures.
ESSENTIAL JOB RESPONSIBILITIES
JOB QUALIFICATIONS
a. Type a minimum of 65 wpm with accuracy.
b. Write, spell, punctuate, and proofread with proficiency.
c. Take minutes at meetings (using shorthand or other acceptable transcribing method).
d. Draft and/or edit letters, memos, and reports.
e. Follow complex oral and written instructions.
f. Maintain a filing system of the administrative records using alphabetical, sequential, color-coding and/or date-coding methods.
g. Operate a multi-line switchboard.
h. Create editable forms using up-to-date computer programs or software.
i. Make content changes to agency website using content management systems.
j. Establishes systems for tracking data using Excel or other agency database software.
3. Must have a working knowledge of procedures related to the administration and processing of documents and reports utilizing Microsoft Office software including but not limited to WORD, EXCEL, OUTLOOK, PUBLISHER and/or other similar computer software systems.
