Receptionist Ref: 30917 Illinois
The Opportunity
We are seeking a friendly and professional receptionist to join our team. As the first point of contact for our organization, the receptionist will play a crucial role in providing excellent customer service and creating a positive impression for our guests. You should have excellent communication skills, a warm demeanor and the ability to multitask in a fast-paced environment.
Main Responsibilities
Present a professional image at all times.
Receive and welcome all visitors to reception, create a favorable impression of the company through provision of a friendly, helpful and welcoming initial contact to all visitors and staff.
Ensure phone calls are answered in a professional and timely manner.
Pre-register all visitors on Appspace booking tool.
Maintain physical security of client space by monitoring all employee and guest traffic in reception and access control of vendors and contractors entering client space through the freight elevator.
Issue access cards and keys as required, ensuring adherence to all relevant security processes and protocols.
Ensure all access cards issued to personnel are returned and locked in a secure location and conduct daily and weekly audits of the card logs.
Ensure all contractors entering the space have undergone HSE induction.
Monitor FM24 help desk tickets and distribute to facilities staff or building engineers as appropriate for completion; ensure timely action on requests and prompt closure of tickets within SLA.
Process incoming vendor invoices and ensure contractors receive timely payment.
Maintain database of contractors COI ensuring all COIs are kept current and are on file with building management.
Completion of reports/checklists as necessary for the fulfillment of KPIs.
Ensure global document register is up to date and all documents are reviewed within the review dates.
Ensure monthly inspections and Archibus update reminders are sent monthly.
Daily tracking and documenting of the total USPS, UPS and packages received and shipped out.
Create and ship items from client via UPS online portal.
All other administrative tasks, functions and special projects as requested by client and Macro Manager.
The ideal candidate will have:
High school diploma.
Proficiently utilize internet software, Outlook, Excel, Word.
Occasionally lift and or move up to 25lbs.
Strong written and oral communication skills.
