Mader Shannon Wealth Management is a national boutique financial services firm based in Kansas City, Missouri. We seek an experienced Administrative Coordinator to support the team and enhance our client experience.

Position Overview: The Administrative Coordinator will provide high-level administrative support and play a key role in client support and office management. This position requires a proactive, detail-oriented individual with excellent organizational and communication skills.

KEY RESPONSIBILITIES

Executive Support:

  • Provide comprehensive administrative support to the President, including managing schedules, arranging meetings, and handling correspondence.
  • Prepare and edit documents, presentations, and reports.
  • Coordinate travel arrangements and itineraries.

Client Support:

  • Serve as a primary point of contact for clients, addressing inquiries and resolving issues to retain business and enhance client satisfaction.
  • Assist in on-boarding new clients, ensuring a smooth and welcoming process.
  • Support other client representatives in the sales and service process, contributing to a cohesive and efficient team environment.
  • Gather and manage data for building and maintaining complex client financial plans, collaborating with other planners.

Office Management:

  • Oversee office organization and management, including event planning, scheduling, supply purchasing, and expense management.
  • Maintain and update client relationship databases (CRM), ensuring accurate and current information.
  • Organize and manage office records and files.

Qualifications:

  • Bachelor’s degree or equivalent experience preferred.
  • Minimum of 5 years of experience in a support capacity, preferably in the financial services industry.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational, time management, and multitasking skills.
  • Superior verbal and written communication skills.
  • High level of discretion and confidentiality.
  • Ability to work independently and as part of a team in a fast-paced environment.
