Madison Approach is Hiring an Administrative Assistant Near New York, NY
We are currently looking for an Administrative Assistant for our client located in the Bronx. This is a forward-facing position and will provide support in the main reception area. Hrs: 8am-5pm; Pay Rate: $25-30/hr DOE.
Primary Responsibilities:
Administrative
Retrieves, scans (as needed), stamps, sorts and distributes mail as received.
Gathers, applies postage and sends mail.
Sends FedEx and certified mail.
Manages paper replenishment for front office and property management copiers.
Manages office supply processes and maintains appropriate inventory levels and responds to office supply requests.
Orders Pitney Bowes supplies and handles servicing requests.
Assists with accounting department, i.e., stuffing envelopes with monthly statements.
Reception
Provides early morning phone coverage from 8 AM to 9 AM.
Provides lunch-break and vacation relief for the receptionist, including phone coverage. This includes occasional, last-minute Overtime phone coverage from 5 PM to 6 PM as needed.
Assists Front Office Coordinator with receptionist responsibilities, maintaining kitchen, supplies, and coordinates service requests when needed.
Prepares conference room for the day, including turning on lights and TVs.
Assists Front Office Coordinator with other activities, as needed.
File Management
Retrieves files for employees and returns to the file room when they are finished.
Creates new file folders (Building, Leasing) as directed and prepares them for filing.
Maintains all building and leasing files in useable order (organizes File Room).
Scans documents for Accounting, Legal, Leasing, Construction and Property Management Departments.
Uploads documents into Smart Cabinet for Accounting, Legal, Leasing, Construction and Property Management Departments.
Emails and/or prints documents from Smart Cabinet when needed.
Works across Departments to organize Shared Drive.
Property Management/Construction/Insurance
Matches up Home Depot bills and Exxon bills with the receipt or other evidence of purchase. Forwards these to the SVP of Property Manager for approval and, after approval, forwards them to A/P.
Assists Property Management and Compliance with special projects.

Required skills/Abilities:

3 Years of forward customer service/reception experience required
Proficient with Microsoft Office tools; Outlook, Word & Excel
