Magellan International School is Hiring a Special Events Coordinator Near Austin, TX

SPECIAL EVENTS COORDINATOR

Position Description: This part-time non-exempt position will provide event planning and execution to both the Advancement and Admissions departments of Magellan International School. This position will report to the Director of Advancement. This onsite, part-time position is scheduled for 20 hours per week.

Essential Functions

  • Organize all aspects of special events, from choosing venues to evaluating impact and success afterwards. Examples of special events include, but are not limited to: Magellan City Limits, Noche de Gala, Grandparents’ Day, Maker Faire, and the Anchor Society Dinner.
  • Ensure that events are enjoyable AND meet the school’s objectives related to fundraising, community-building, and/or recruiting.
  • Collaborate regularly with the Director of Advancement, the Director of Admissions, the Magellan International School Parent Association (MISPA), and members of the school leadership team on special event planning.
  • Communicate in a timely and effective manner with appropriate stakeholder groups.
  • Manage contracted vendors.

Required Qualifications
  • Three to five years of professional work experience in an office environment.
  • Strong computer skills, including some proveciency in Blackbaud K-12, Google Workspace, Excel, and Word.
Preferred Qualifications
  • Bachelor's degree, preferably in hospitality management, public relations or a relevant field.
  • Bilingual/Spanish proficiency a plus.
  • Experience in a school setting is a plus.
  • Previous experience working within an advancement office.
Salary and Benefits
Salary for this position is competitive and commensurate with experience. The position provides generous time off benefits including five weeks during the school year (fall break, Thanksgiving break, winter break, and spring break) and two weeks to be taken during the summer break between school years. In addition, you will be granted 40 hours of Paid Time Off (PTO) per year (August 1st through July 31st).
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets. Ability to lift up to 30 pounds, bend, stoop, be mobile, and stand for long periods as required.
Position Type and Expected Hours of Work
This position is part-time and non-exempt. The Special Events Associate, in collaboration with the Director of Advancement, will determine the actual work schedule. Availability during occasional nights and weekend events is expected.
Travel
Some out-of-area and/or overnight travel may be required.
Additional Eligibility Qualifications
A criminal history background check will be required for finalist(s) under consideration for this position.
Work Authorization/Security Clearance
If hired, employee will be required to complete the federal Employment Eligibility Verification form, I-9. You will be required to present acceptable and original documents to prove your identity and authorization to work in the United States. Documents need to be presented no later than the third day of employment. Failure to do so will result in loss of employment at the school.
