PROCUREMENT SPECIALIST | JOB DESCRIPTION SUMMARY At Magnolia, the Procurement Specialist is responsible for reviewing and performing due diligence of purchase requests, and placing purchase orders for internal supplies and services that support company operations for all Magnolia entities. The Procurement Specialist uses market analysis, risk management, and change management skills to assess needs and strategically source or develop the most cost efficient and effective solutions for the company. They maintain strong internal relationships, communicate strategically with relevant stakeholders, and negotiate with vendors to secure favorable business terms and pricing. This position works from Magnolia Headquarters in Waco, Texas. It reports to the Director of Procurement and has no supervisory responsibilities. ESSENTIAL DUTIES AND RESPONSIBILITIES Evaluate procurement tickets/requests against internal policies and company goals* Creatively respond to requests considering existing company funds and resources Ensure appropriate departmental, legal, and financial approvals have been received prior to purchasing* Ensure appropriate due diligence is completed prior to sharing company information with external parties* Strategically and ethically source potential vendors and their goods/services considering the various elements of value e.g. capability, reliability, service, cost, quality, alignment with company initiatives, etc.* Collaborate with stakeholders to define goals, timelines, and create evaluation criteria Facilitate RFP (Request for Pricing) and other formal bid processes Negotiate business terms, pricing, and define performance expectations and assist in holding vendors accountableEstablish new business accounts and memberships Create and issue Purchase Orders (POs), track order status, communicate to stakeholders, and occasionally manage receiving and inventory processes Maintain and update vendor contact information and organize relevant vendor-related documentation in SharePoint Build and maintain strong relationships with internal stakeholders Clearly present research findings and make recommendations to decision makers Maintain up-to-date and accurate procurement records such as items or services purchased, costs, delivery, product quality or performance issues, savings and cost avoidance, etc. Periodically review and classify internal company purchases Perform other duties as assigned *Metrics evaluated on Performance Review COMPETENCIES Teamwork: Contribute to a team environment supporting diversity, equity, inclusion, and belonging. Know your role in achieving team goals. Hard skills: Proficiency in Microsoft Excel required. ELIGIBILITY QUALIFICATIONS Bachelor's degree from a 4-year college or university preferred 2-4 years of related work experience OR an equivalent combination of education and experience preferred Experience in negotiation, contract review, and strategic sourcing preferred PHYSICAL DEMANDS While performing the duties of this job, the employee is regularly required to sit; use hands and arms to reach, handle, feel; utilize fine motor dexterity of fingers; talk or hear and taste or smell. The employee is frequently required to stand and walk. The employee is frequently required to climb or balance and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds, and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. WORK ENVIRONMENT While performing the duties of this job, the employee is occasionally exposed to outside weather conditions. The noise level in the work environment is usually moderate.
