Overview: As the Executive Assistant at Challenge ABA, you will play a critical role in supporting the COO, and the team in the daily operations of the company. Your responsibilities will span a wide array of tasks, from managing executive calendars and communications to assisting with recruiting, onboarding, and insurance billing. This position is key to ensuring smooth operations as Challenge ABA grows.
Key Responsibilities:
Executive Support: Manage schedules, appointments, and daily communications for the COO. Handle emails, phone calls, and inquiries with professionalism.
Recruitment & Onboarding: Oversee the recruitment process for Behavior Technicians (BTs), including posting jobs, screening candidates, and facilitating interviews. Assist with the onboarding of new BTs and parents/students, ensuring all documentation is complete.
Insurance & Billing: Assist with Medicaid and insurance billing processes, including submitting claims and tracking reimbursements. Work with external teams to maintain compliance and billing accuracy.
Administrative Support: Coordinate meetings, handle travel arrangements, and ensure smooth communication between staff and clients. Maintain office organization and documentation.
Client Support: Facilitate the onboarding of new parents and students, providing them with necessary resources and ensuring a smooth integration into ABA services.
Skills & Qualifications:
Strong organizational skills with the ability to manage multiple priorities.
Proficiency in office software, including Google Suite, Microsoft Office, and experience with CRM or task management tools.
Excellent communication and interpersonal skills to engage with clients, staff, and external vendors.
Ability to work independently and be resourceful in a fast-paced environment.
Familiarity with recruitment, insurance billing, and onboarding processes is a plus.
Qualifications:
2 years of experience in an administrative or assistant role, preferably in healthcare or education.
Strong attention to detail and problem-solving skills.
Ability to adapt to a growing, dynamic team and work across different departments.
