DEPARTMENT: ADMINISTRATION

POSITION TITLE: ADMIN ASSISTANT

STATUS: FULL TIME, NON-EXEMPT

SUPERVISOR: CORPS OFFICER

MISSION STATEMENT:

SCOPE OF POSITION:

Reporting directly to the Corps Officer, the Administrative Assistant provides executive support in a one-on-one working relationship. They serve as a liaison to the Corps congregation and oversees special projects. They provide administrative help and leadership.

EDUCATION AND WORK EXPERIENCE:

  • Minimum 5 years of experience supporting high level executives, preferably in a non-profit organization
  • Preferred experience and interest in property projects, internal and external communications, partnership development, and fundraising
  • Must be able to read, write, and communicate well in English
  • Bilingual in English/Spanish, helpful

  • Be at least 21 years of age
  • Maintain a valid Washington State Driver’s License
  • Successfully complete Decision Driving Safety Test before driving for The Salvation Army and annually recertify as required
  • Working knowledge and ability to use computer systems, including PowerPoint, Access, Word, Excel, and Outlook
  • Working knowledge of integrated database applications and ability to use new software programs with training

ESSENTIAL DUTIES AND RESPONSIBILITES:

  • Completes a broad variety of administrative tasks for the Corps Officers including: managing a calendar of appointments, composing and preparing correspondence, compiling documents for meetings, and arranging travel plans, itineraries, and agendas
  • Plans, coordinates, and ensures the CO’s schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CO’s time and office
  • Communicates, both verbally and written, directly and on behalf of CO, with Corps council members, donors, staff, and others on matters related to CO’s programmatic initiatives
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response
  • Works closely and effectively with the CO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately
  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the CO, some of which may have organizational impact
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
  • Works with the Development team in coordinating CO’S outreach activities
  • Participates as an adjunct member of the Ministry Team including assisting in scheduling meetings and attending all meetings
  • Edits and completes first-drafts for written communications, including acknowledgement letters, to external stakeholders
  • Follows up on contacts made by the CO and supports the cultivation of ongoing relationships
  • Maintain accurate, complete, confidential, and functional files related to the PTM program
  • Ensure that the Salvation Army Spokane maintains compliance on all PTM matters and meets the Territorial standard for insurance rebates
  • Working knowledge of Federal State privacy and child protections laws
  • Knowledge of church dynamics and operations is preferred
  • Commitment to Christian education and principles
  • Attend, promote, and assist with Divisional and Territorial events as they pertain to the program area overseen. It is the expectation that no special assignments will be undertaken except by the express approval of the Corps Officer. It is further the expectation that preparations for special assignments will be completed subsequent to the fulfillment of regular programming or responsibilities.
  • Performs other administrative functions as requested
  • Performs all other duties as assigned

PHYSICAL REQUIREMENTS:

  • Must be in good physical health and mental health, capable of meeting program demands
  • Ability to sit, move, stand, bend, squat, climb, kneel and twist on intermittent or continuous basis
  • Ability to grasp, push, pull objects such as files, file cabinet drawers, and reach overhead
  • Ability to lift and carry up to 40 pounds

BENEFITS:

A generous benefits package is included with full-time positions: paid holidays, vacation time, sick time, and medical, vision, and dental insurance.

Health Insurance: Low bi-weekly premiums for employee-only coverage, Kaiser HMO for those residing in a Kaiser service area, Anthem EPO/PPO is available for those residing outside a Kaiser service area. Voluntary 1 and family coverage at additional cost. Delta Dental DHMO and DPPO dental insurance are offered.

Life and Voluntary Options. An employer-paid life insurance policy covers employees. Voluntary supplemental life, short-term and long-term disability plans are available.

Retirement Plans: Employer-funded Money Purchase Pension Plan (Defined Contribution Plan) 50% vested at five years eligible service time. Plus, an employee-funded voluntary 403(b) option.

Parental Leave: The benefit is 40 hours of Paid Leave for qualifying events.

Sick Leave: 12 days of Sick Leave annually accruing from day one, eligible for use after three months’ service time.

Paid Vacation:

  • Two weeks annually, accruing from day one, for non-exempt positions.
  • Four weeks annually, accruing from day one, for exempt positions.
  • Accrued vacation is eligible for use after six months’ service time.

Paid Holidays: 13 designated holidays 1 floating holiday per year
