Position Title: Family Services & Office Coordinator

Corps/Department: The Salvation Army, Mat-Su Valley Corps

Reports To: Leader in Charge

FLSA Status: Part-Time; 29 Hours per Week/Non-Exempt

Scope of Position/Essential Functions:

The Family Services & Office Coordinator’s primary role is providing overall coordination and implementation of all aspects of Mat-Su Corps family services ministry. The Family Services & Office Coordinator will provide daily services to individuals requiring all aspects of The Salvation Army assistance. The Family Services & Office Coordinator will provide administrative support by conducting research, corporate card reconciliations, data entry/tracking, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. The Family Services & Office Coordinator will provide opportunities for community volunteers to support Salvation Army programs and ministries.

Qualifications:

  • Associate degree or higher or 2 (two) years of experience in a related field (social services, education, health field, etc.).
  • A working knowledge of local resources and community stakeholders is strongly preferred.
  • Working knowledge of general office equipment.
  • Proficiency with computers and Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Demonstrated ability to work as part of a team.
  • Excellent oral and written communication skills.
  • Strong proofreading and editing skills; thorough knowledge of correct grammar and punctuation.
  • Ability to organize and prioritize tasks while working cohesively and collaboratively with co-workers, supervisors, volunteers, visitors, vendors, and clients.
  • Maintain a valid driver’s license with an acceptable driving and criminal history records.
  • Efficiency in WellSky social services database is preferred.
  • Experience collaborating with diverse community agencies in Alaska or similar communities is preferred.

Essential Functions:

  • Provide services to families seeking assistance through community networking.
  • Provide family case work to include rental assistance, utility assistance, and vouchers for clothing, household goods, and furniture.
  • Assist individuals seeking information regarding Salvation Army services, i.e., in person, via phone or email.
  • Utilize HUD HMIS data collection system as required per grant stipulations.
  • Ensure consistent data input into The Salvation Army’s social services software, such as WellSky, in order to evaluate the progress of families and be compliant with in-house statistical deadlines.
  • Maintain client and statistical records, reports, and data for all Family Services related assistance, including BHAP fund distribution, by required deadlines.
  • Support data collection and outcome measurements leading to further enhancement of The Salvation Army’s services to families at risk.
  • Assist with written, verbal, and electronic communications, including creating, formatting, and preparing a variety of official letters and documents.
  • Prepare reports, memos, letters, financial statements, and other documents as directed by the Leader in Charge, using Word processing, spreadsheet, database, and/or internal company software.
  • Open, sort, and distribute incoming correspondence, including faxes and email.
  • Perform general office duties, such as ordering and picking up supplies, maintaining records management database systems, and basic bookkeeping work.
  • Answer incoming calls and direct calls to appropriate parties or take messages.
  • Build and maintain positive professional relationships with all other departments within the organization.
  • Assist with seasonal programs to include, but not limited to, Back to School, Thanksgiving, and Christmas.
  • Assist with fundraising opportunities year-round as well as during Christmas kettle season including helping count and deposit kettles income, pick up and transport donations of toys and goods, assist with planning of kettle kick off or other fundraising activities, as directed by the Leader in Charge.
  • Work with and recruit volunteers, in conjunction with the Volunteer Coordinator, to support Salvation Army social service opportunities.
  • Provide back up support, as needed, to CSFP and TEFAP food box distribution, including processing applications, delivering food boxes, and coordinating with the Food Bank Coordinator.
  • Perform other related duties as assigned.

Work Environment:

Work is performed in a heated and ventilated institution setting. The noise level is generally low. Brief exposure to extreme temperatures when running work related errands such as delivering food boxes, picking up supplies, etc.

Physical Requirements:

  • Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent basis.
  • Ability to grasp, push/pull objects, and reach overhead.
  • Ability to see and hear at normal ranges with corrective devices, if necessary.
  • Ability to lift up to 50 lbs.
  • Ability to understand and produce written and verbal information.
  • Ability to operative a motor vehicle in daylight, darkness, and in inclement weather conditions.

Language Skills: Must be able to understand, follow and give both written and oral instructions. The employee must be able to use speech and hearing for ordinary and telephone conversation.

Mathematical Skills: Must be able to perform simple calculations (addition, subtraction, multiplication, and division) and apply concepts such as ratios and percentages in practical situations.

Performance Skills: Must be creative, self-motivated, organized, flexible, and possess leadership skills.

Sacred Boundaries and Protect the Mission: Must complete the online course for this area and pass the Background Check required by The Salvation Army for employment.

Driver Requirements: Must be a licensed driver. Must also complete and pass The Salvation Army Driver Safety Course and Motor Vehicle Records check.
