POSITION SUMMARY:

We are seeking a Managing Executive Assistant/Operations Manager to provide high-level administrative support to our managing partners and oversee a team of consultants. This position will either be Denver-based hybrid or fully remote. The role demands exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The Managing Executive Assistant/Operations Manager will be a proactive problem solver with strong leadership and communication skills, capable of ensuring efficient operations and effective time management for our team.

KEY RESPONSIBILITIES:

Strategic Planning and Execution:

  • Assist the Managing Partners & Consultants in setting strategic goals and driving execution across the organization.
  • Streamline internal operations and help optimize current processes 

Executive Support:

  • Manage and maintain executives’ schedules, including arranging meetings, appointments, and travel itineraries.
  • Handle occasional incoming and outgoing communications on behalf of the executives.
  • Coordinate and follow up on project timelines and deliverables.

Operations:

  • Monitor and manage budgets, expenses, and accounts receivable

Client Success:

  • Oversee our client onboarding process, manage and prioritize client request and ensure client satisfaction over the engagement process

Business Development:

  • Assist in refining prospects and supporting sales efforts
  • Help prepare content ideas and digital marketing campaigns to drive brand awareness

Internal Communication: 

  • Serve as a liaison between the Partner’s and internal departments as the company scales, ensuring transparency and open lines of communication.

Meeting Coordination:

  • Organize and coordinate meetings, conferences, and events.
  • Prepare meeting agendas, take minutes, and distribute follow-up action items.

Travel Arrangements:

  • Arrange domestic travel, including flights, accommodations, and transportation.
  • Prepare detailed travel itineraries and ensure executives have all necessary travel documents.
  • Manage expense reports 

Logistics Management:

  • Maintain an organized filing system for paper and electronic documents.
  • Liaise with vendors, contractors, and service providers as needed.

Special Projects:

  • Assist with special projects and initiatives as required.
  • Conduct research and compile data to support organizational decision-making.

Confidentiality:

  • Handle sensitive information with the highest level of confidentiality and professionalism.
  • Ensure compliance with company policies and procedures.

Qualifications:

  • Bachelor’s degree in Business Administration or related field preferred.
  • Minimum of 2 years of experience in an executive assistant or similar role and preferably with a management role before.
  • Proficiency in GSuite, Hubspot, Notion, and/or similar SaaS tools.
  • Exceptional organizational and time management skills.
  • Strong verbal and written communication skills.
  • Ability to work independently and prioritize tasks effectively.
  • Excellent interpersonal skills and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.

  • The role may require occasional travel.
