Project Manager - Mechanical
Location: Springfield, IL
Experience: 5-10 years of project management experience in the mechanical contracting industry (a must)
Purpose of Position: The Project Manager (PM) is responsible for positively impacting customer relationships and the success of assigned projects through proactive, accountable, and competent leadership. The PM ensures projects are completed on time, within budget, and with the highest quality, professionalism, and integrity, aligning with the company's vision, values, and culture. The PM holds overall responsibility for project quality, timeliness, budget, profitability, and safety, with a significant focus on customer satisfaction.
ResponsibilitiesPre-Construction Duties:
  • Foster and maintain a preferential working relationship with customers.
  • Train and develop Assistant Project Managers (APMs).
  • Define and lead all pre-construction activities.
  • Review all project estimates, focusing on details and general conditions.
  • Collaborate with the Estimator to review the Value Engineering Process.
  • Purchase materials, equipment, and subcontractors not covered by the estimating or purchasing department.
  • Write subcontracts and purchase orders.
  • Assist with reviewing and finalizing contracts.
  • Conduct and document Construction Plan Meetings for each assigned project.
  • Formulate the construction schedule.
  • Maintain updated project plans and specifications.
  • Understand design documents and project intent.
  • Organize and distribute project submittals, ensuring products conform to project specifications.
  • Maintain project files for submittals, RFIs, change orders, ASIs, equipment delivery, etc.
  • Define manpower requirements with the superintendent and set up the manpower loading chart, reviewing weekly updates.
  • Prepare project budget set-up (cost codes) for labor tracking and forecasting.
  • Establish and maintain productive relationships with the project team, HG staff, owner, architect, engineer, subcontractors, vendors, and others involved in the project.
  • Proactively assist the project team by anticipating and resolving deficiencies (design errors, missing details, documents, etc.).
Construction Duties
  • Manage subcontractors.
  • Update office and site documents with addenda and changes as required.
  • Continuously monitor project budgets.
  • Regularly review labor cost codes and manpower loading with the field superintendent or project engineer.
  • Maintain and review equipment delivery schedules with the project team.
  • Update detailed project schedules monthly.
  • Conduct quality control inspections of installed work.
  • Attend subcontractor and/or coordination meetings as scheduled.
  • Prepare and process proposed change orders, including notifying subs and others of scope changes, obtaining quotations, performing material take-offs, and pricing changes.
  • Review and compose project requests for information (RFIs).
  • Track submittals for project construction, coordination, and distribution to the project team.
  • Submit all invoices/billings (schedule of values) and follow up with customers on monthly payments.
  • Maintain documentation relative to delays, changes in work conditions, schedules, etc.
  • Ensure a proactive approach by anticipating future project requirements and needs.
Project Closeout
  • Prepare and maintain the project closeout schedule.
  • Compile the final pay application and lien waivers.
  • Coordinate all punch list issues with the project team.
  • Notify subcontractors and suppliers of required closeout documents.
  • Verify the project is ready for final inspection and acceptance.
  • Coordinate and schedule equipment start-up, owner training, and commissioning if required.
  • Prepare and distribute Operation and Maintenance (O&M) manuals per contract requirements.
  • Manage the completion and distribution of project as-built documentation.
  • Prepare warranty documentation and closeout report for the Post Construction Meeting.
Qualifications
  • 5-10 years of project management experience in the mechanical contracting industry.
  • Strong leadership and communication skills.
  • Proficient in project planning, budget management, and construction management.
  • Experience in training and developing Assistant Project Managers.
  • Ability to manage multiple projects and prioritize tasks effectively.
  • Strong problem-solving skills and attention to detail.
  • Excellent customer relationship management skills.
  • Proficiency in relevant project management software and tools.
