Position Summary: The Inventory & Ordering Team Lead is responsible for managing MANNA’s inventory and various aspects of the order and fulfillment process. This role involves: inventory cycle counts, root cause analysis and correction of inventory issues, working efficiently within the ERP/Warehouse Management Software, and serving as the Team Lead for the Order Coordinator and Customer Service Warehouse Associate.
Essential Duties and Responsibilities:
  • Contribute to the consistent success of the Operations Department under the direction of the Inventory & Product Flow Manager (IPF).
  • Serve as Team Lead for the Order Coordinator and Customer Service Warehouse Associate by ensuring that orders are processed correctly and assisting with customer service and documentation for order pickups.
  • Assist in training the Order Coordinator and Customer Service Warehouse Associate and serve as back-up in their absence.
  • Coordinate with the IPF to resolve inventory issues.
  • Responsible for scheduling and conducting regular cycle counts on all products as defined by the Cycle Count Plan, documentation, reporting results and findings to the IPF for final disposition of that inventory, completing all research through root cause analysis and correction.
  • Maintain and utilize data found in ERP/Warehouse Management software and Excel spreadsheets for inventory accuracy and to document inventory work flow.
  • Responsible for issuing credit memos, or coordinating with the Chief Financial Officer for financial credit, for all product returned to MANNA by partner agencies and restocking or disposing of returned inventory as appropriate.
  • Provide excellent customer service for partners with order questions or inventory concerns.
  • Safely load partner agency orders onto their vehicles utilizing proper load handling equipment such as forklifts and pallet jacks.
  • Responsible for informing the IPF Manager and/or Warehouse Manager when inventory turnover is low, product is stored incorrectly, or there is improper distribution of dated products (lack of adherence to FIFO, FEFO).
  • Continually look for opportunities to gain efficiencies in assigned areas of responsibility; offer recommendations on operational policies and objectives required for improved performance.
  • Assist with cleaning, sanitizing, and food safety procedures in accordance with MANNA, Feeding America, and AIB (Food Safety) guidelines.
  • Manage order window creation and order window changes.
  • Manage and oversee partner agency pick up schedule and contacts agencies when issues arise or changes need to be made.
  • Oversee TEFAP allocations
  • Ensure exceptional customer service is provided to agencies who pick up orders at MANNA.
  • Oversee items placed outside for agency pick up are available to all agencies and maintains time and temperature checks according to food safety rules.
  • Work closely with Agency Relations Department to ensure customer satisfaction. Shares information to team and AR when needed regarding agency issues.
  • Responsible for initiating Mock Recalls twice per year and following them through to conclusion.
Qualifications:
  • Minimum of a high school diploma or GED
  • 2 years’ experience in warehouse operations, inventory management preferred
  • Experience working within a warehouse management system with bar-coding is preferred
  • At least 2 years of Customer service experience preferred
  • Copy of current driver’s license required; copy of current auto insurance; and clean MVR required
  • Proficiency in the use of load-handling equipment including but not limited to; forklifts, reach trucks, and electric pallet jacks or a willingness to learn
  • Strong interpersonal, written, and verbal communication skills.
  • Demonstrated computer proficiency (intermediate level) with experience using inventory software and demonstrated proficiency within Microsoft Office Suite (Excel, Word, Outlook)
  • Demonstrated success in problem solving and team building
  • Must be organized, accurate and efficient in performing work duties
  • Proficient in warehouse safety a must
Working Conditions: This position works in a warehouse setting that can be at times, hot or cold depending on the season. This is a fast paced hands-on physical work environment. The noise level in the work environment is moderate to moderately loud within the Warehouse. At times this position will assist the customer service associate, which will require use of forklift and reach trucks and periods of time outdoors to load orders.
Physical Demands: The physical demands required here are representative of those that must be met by the employee to successfully perform the essential functions of the job.
The physical demands of this position are heavy work. This position requires exerting in excess of 50 pounds of force occasionally, and in excess of 40 pounds of force frequently, and in excess of 30 pounds of force constantly to move objects. This includes lifting/carrying weights in excess of 30lbs frequently and lifting up to 100lbs occasionally. Additionally, this position requires the operation of a manual and/or electric pallet jack, fork lifts and reach trucks with the ability to manage loads in excess of 2000lbs frequently. This includes pushing and pulling of product throughout the warehouse including in coolers & freezers, and loading and unloading vehicles utilizing lift gates. While performing job duties the employee is regularly required to use hands to finger, handle or feel; reach with hands and arms; and talk or hear. The employee is frequently required to stand; walk; and bend, twist, stoop, kneel, or crouch. The employee is occasionally required to sit and climb or balance. Specific vision abilities required the visual acuity to operate motor vehicles and heavy equipment, close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Schedule: Flexible schedule availability is required; typical schedule ranges between 7:00am – 5:00pm as needed to complete the work, Mon.–Fri. with occasional evening and weekend hours as needed for inventory or special events.
In instances of a federal, state or locally declared emergency or order, MANNA FoodBank is typically considered an essential service and emergency responder; all employees may be called upon to perform regular or emergent duties.
