Manning Personnel Group, Inc. is Hiring an Executive Assistant Operations Manager Near Cambridge, MA

Our client, a small, high-growth biotech start up, is seeking an organized, self-motivated, and team-oriented EA/OM, with a passion for keeping the show running and who thrives working in a fast-paced startup environment. In this role, you will provide administrative and operational support to our cross-functional R&D teams driving our drug discovery and development programs. As a member of a rapidly growing and very creative team, you will help us in our mission to improve patients’ lives and develop novel therapies.

Key Responsibilities:

Executive Support

  • Scheduling, room booking, expense reporting, and arranging travel
  • Coordinate catering for select meetings
  • Provide administrative support for fundraise process

Human Resources

  • Scheduling and supporting talent acquisition process including coordinating onsite interviews, soliciting candidate CDA’s
  • Prepare offer letters and manage employee files
  • Managing pre-onboarding process: ordering laptop, completing new user requests, scheduling onboarding schedule
  • Conduct HR and benefits onboarding; process I-9 documents
  • Benefits management: collaborate with broker and finance to assist employees with benefits registration and questions
  • Support People and Talent consultant as needed for various HR projects

Contracts

  • Assist with tracking CDA revisions and processing docusigns to relevant parties
  • Support MSA and SOW redline review process

Vendor Management

  • Collaborate with external finance team to approve invoices, process corporate card expenses
  • Collaborate with benefits broker for open enrollment
  • Collaborate with external IT team to manage day to day IT needs of team as well as special projects
  • Track software licenses and renewals attached to corporate credit card
  • Assist with facilities management as needed in incubator space

Team & Culture Support

  • Liase with culture committee to plan monthly happy hour as well as 2-3 larger outings per year
  • Serve as key resource to R&D team for questions regarding operations
  • Office supply ordering as needed

Qualifications & Skills

  • 7 years of operations experience with a minimum of 3-5 years’ experience in early-stage biotech start-ups
  • Demonstrated ability to act with tact and to appropriately manage confidential information as needed for executive support and human resources support
  • Exemplary ability to triage priorities and to communicate trade-off costs of shifting project priority rank
  • Strong interpersonal skills, with the ability to build strong working relationships with cross-functional teams
  • Adept at drafting clear and effective communications for external and internal audiences
  • Creative and thoughtful problem solving
  • Degree preferred

This role is 5 days onsite.
