The Supervisor, Accounts Payable is responsible for providing oversight and direction for the payables department, investigating exceptions and issues, working with the vendors and internal business owners to manage and/or improve processes or concerns, and ensuring timely and accurate processing of all vendor invoices.

Responsibilities

Coaching and Mentoring 

• Develop clear goals for staff each year that support company goals and objectives
• Develop a coaching strategy for staff to achieve or exceed goals and objectives
• Regularly review performance with staff

Departmental Leadership 

• Selects and hires employees for the Payables team.
• Train and evaluate employees to enhance their performance, and development 
• Track monthly metrics to ensure department is meeting or exceeding goals
• Implement a strategy for department to examine and improve key processes used every day
• Develop clear departmental strategy to achieve measurable and financial goals 
• Provide a regular feedback strategy for the department to evaluate results and make improvements
• Coordinate team member scheduling and staffing to ensure excellent customer service and response is achieved

Functional Leadership 

• Supervise payables team including Lead and Accounts Payables Clerks as well as Imaging Clerks
• Cultivate and maintain productive cross departmental relationships 
• Effectively manage vendor relationships
• Primary focus on number of invoices processed per person per day, accuracy of invoices recorded,number of accruals aging 60 days, and calls for statements
• Ensure timeliness and accuracy of entry of all invoices into the payment system
• Investigates and resolves problems associated with processing of invoices 
• Complete problem solving and analytics for invoices or processes that are beyond the capability of the team.
• Support month end accounting processes such as accruals, journal entries, reconciliations, and reporting

Knowledge & Experience

• Microsoft Excel and Outlook skills at the intermediate-advanced level 
• Intermediate-advanced computer skills and system skills 
• 3 plus years of accounts payable or equivalent experience required 
• 2 plus years of supervisory experience preferred 
• Fuel industry/logistics experience preferred

Work Environment

• Hybrid work environment once training is completed – 3 days in office, 2 days remote
