Advanced Administrative AssistantPOSITION SUMMARY: The Anacortes Refinery (ANA) has an opening for a Learning Management System (LMS) Administrator within the ANA Environmental Safety & Security (ES&S) Department located in Anacortes, WA. The position will be responsible for supporting Learning Management System (LMS) activities, training logistics, ensuring the timely needs of assessment, development, implementation, and effectiveness with all training programs. This position will enter and verify data records in appropriate format into a learning management system, track and verify the quality of data entry from all sources, interact with other departments to resolve problems and inquiries, and maintain efficient data and information flow. This position will also perform limited data analysis and generate various reports. The successful candidate must be able to prioritize work assignments and maintain confidentiality of record information.
KEY RESPONSIBILITIES:
  • Primary administrative support for all daily LMS activities as needed.
  • Generate reports and statistics as needed to help drive training participation and completions.
  • Support the coordination and implementation of instructor led training programs.
  • Oversee training courses, assignment profiles, curricula, and content/materials in the LMS in coordination with Refining, Site leadership and SMEs.
  • Engage with ANA Training Specialist & key stakeholders to continuously evaluate the training and development needs of the ANA Refinery workforce.
  • Assists and coordinates the dissemination of training information and materials as needed.
  • Stays abreast of the latest developments and techniques in the Training and Development field.
  • Actively engage in special projects as needed in support of the department and/or site.
SKILLS:
  • Solid communication, stakeholder collaboration, team building, improvement focus, training skills and a technical background are attributes that would be beneficial to this position. Training experience is a plus.
  • Computer Skills: Computer proficiency including Microsoft Office products is required. LMS (Workday) and Instructional Design experience is preferred. PowerBI & SharePoint experience is a plus.
EDUCATION AND EXPERIENCE:
  • High School Diploma or GED Equivalent.
  • 3 or more years of data entry, evaluation of data, supply chain or related fields.
MINIMUM QUALIFICATIONS:
  • Proficiency in MS Office. Aptitude to learn Refining-specific software.
  • Experience working with a Learning Management System, or similar complex database preferred.
  • Excellent written and verbal communication skills.
  • Excellent time management skills and ability to multi-task and prioritize.
  • Strong organizational and planning skills.
  • Support multiple people and prioritize in a fast-paced environment.
  • Ability to analyze and interpret data.
