What are the responsibilities and job description for the Receptionist position at Marcum LLP?

CBIZ Talent Solutions (formerly Marcum Search) is seeking a Receptionist for a client’s midtown office. The receptionist is responsible for greeting and directing visitors who are calling and entering establishment. Provide assistance with general office administration responsibilities as requested.

Can be Temp to Perm.

Responsibilities

  • Answer and route all phone calls (Everyone has direct dial numbers, so it is not a busy switchboard)
  • Receives the public and answers questions, in person and by telephone; responds to inquiries from employees, clients, etc. and refers, when necessary, to the appropriate person, official or department.
  • Comply with building security procedures for visitors and scheduled guests.
  • Maintain daily sign in sheet for all employees, if requested.
  • Lead the workspace reservation process for office employees to book desk space. Update the software and log desk availabilities.
  • Keep track of open offices and assigning associates to open offices on a daily basis.
  • Update phone list on a weekly basis.
  • File and maintain records.
  • Process and prepare memos, correspondence, or other documents as needed.
  • Process incoming checks for daily deposit and record receipts for services. Bank deposits if necessary.
  • Send, receive and log all messenger, FedEx, UPS and DHL services.
  • Maintain calendar for conference room and visitor office scheduling.
  • Coordinate catering for internal meetings and events as necessary.
  • Process invoices for various office services.
  • Coordinate maintenance requests with the building assisting the Facilities contact.
  • Assist HR, Office Manager and operations team with ad hoc requests.
  • Assist Marketing with Internal Meetings/Events as needed.
  • Assist with any additional ad hoc requests.

Qualifications

  • Demonstrated knowledge of basic business, technology, telephone and general office administration.
  • 2-4 years of experience
  • Strong communication skills and follow-through are required for this position.
  • Proactively seeks ways to assist internal and external clients
  • Professional demeanor
  • Effective written and verbal communication skills
  • Ability to quickly adapt to evolving software and procedures.

This role is as a receptionist, do not apply if you wish to be something other than the receptionist.

There is an office operations team, the receptionist is part of that team.

Salary range, depending on experience, $21.00 to $24.00 per hour.

Local candidates preferred.
