THE ORGANIZATION

Marian House is a Maryland non-profit organization that provides residential and rehabilitative services to women and families who have been impacted by adverse experiences and have complex histories of trauma. Marian House owns and operates 15 buildings, including two 24-hour, staff-monitored campuses.

History: Marian House was founded in 1982 as a joint project of the Sisters of Mercy, the School Sisters of Notre Dame, and lay women in response to the dire circumstances that befell women at the Baltimore City Women's Detention Center. Together, they noticed it was difficult, if not impossible, for many of the women being released from incarceration to rebuild their lives as housing, employment, and support were scarce. Thus, they came together and founded Marian House to fill these voids and reduce recidivism rates.

Over 42 years later, our Catholic identity and the compassionate approaches of the Sisters continue to drive our mission; bringing faith and success to Marian House and the women we serve. Marian House has served over 4,600 women and families and we continuously modify our programming to achieve strong, lasting results.

Our Mission: To be a holistic, healing community for women and families within a safe, sober, and loving environment that challenges women to respect and love themselves and others, confront emotional and socioeconomic barriers, and transition to stable and independent lives.

THE POSITION

The Director of Operations will be responsible for promoting the mission of Marian House and providing strategic leadership and direction for the organization’s Facility Operations, Information Technology and Human Resources. The Director of Operations is also responsible for assessing, transforming, and building Marian House’s systems in these areas to ensure an appropriate level of sophistication and effectiveness. They will continuously define the vision and strategy for these areas within the organization and work to improve operational systems.

The Director of Operations will direct the management of facilities of the organization. They will be responsible for long-term facilities planning based on the organization’s strategic plan, including office utilization, meeting room accessibility, building renovations, etc. In consultation with the President & CEO and CFO, the Director of Operations manages the budget and purchasing for facilities, maintenance, technology (hardware, software, and support) and office supplies/equipment.

The Director of Operations will lead the human capital strategy for the organization, including but not limited to; leading initiatives to improve recruitment and retention, human resource planning and management, employee relations, talent management in accordance with the policies and practices of the agency, governmental organizations, and other regulatory and advisory authorities.

The Director of Operations will support a current staff of 35 and directly supervise the Maintenance Supervisor, IT and facility vendors.

RESPONSIBILITIES:

General

· Oversee the functionality of facility operations, IT, and HR systems.

· Ensure that the organization’s facility operations, IT, and HR systems adhere to applicable laws and regulations, as well as to the values and mission of the organization.

· Recruit, develop, inspire, and coach the HR, IT and Facilities staff and vendors.

· Analyze Marian House’s current technology, facilities, and HR related assets, aligning them with the strategic goals of the organization.

· Serve as chief risk officer, managing and mitigating operational risk to the organization to include oversight of Insurance programs, risk management controls and systems.

· Negotiate contractual agreements on behalf of Marian House relating to Facility operations IT, and HR, and acts as primary contact for all contractual workers who provide services to Marian House.

· Act as lead staff member of the Facilities Committee of the Board, ensuring progress toward strategic plan goals.

· Collaborate with other members of the Marian House leadership team to create and implement strategies for future growth and direction.

· Foster a culture of trust, ownership, and commitment to shared success.

· Able to understand and clearly communicate and promote the mission of Marian House and its connection to the sponsoring communities, the Religious Sisters of Mercy (RSM) and the School Sisters of Notre Dame (SSND)

· Create close partnerships with key stakeholders and manage those relationships in support of Marian House.

· Represent the agency to the larger community, assisting with tours and speaking engagements as needed, and acting as primary point of contact to neighbors and community stakeholders when needs or concerns arise.

· Assist with daily operations of Marian House programs as needed when other leadership team members are absent.

Facility Operations

· Direct the management and operations of facilities, maintenance of all buildings and the budget required to run these facilities.

· Supervise the Maintenance Supervisor in their role of care and maintenance of all facilities.

· Ensure the organization’s compliance with funding requirements and regulatory bodies (i.e. inspections, safety training and drills).

· Maintain safety and security systems and act as primary security contact for the organization.

· Serve as a strategic advisor and functional expert to the President & CEO and leadership team regarding facilities utilization, maintenance, and long-term planning.

· Direct the management of daily operations, including ensuring environmental comfort and health, sufficient supplies, functioning equipment, etc.

· Direct the planning of space utilization/occupancy and assessment of needs.

Information Technology

· Ensure the functionality of the agency’s information technology systems.

· Provide oversight and strategic direction to Marian House’s technology infrastructure, anticipate technological scale and capability challenges and needs, and communicate coherent plans to address these challenges.

· Develop and enable communication systems for the agency, including network/cloud infrastructure, end user devices (whether owned by the company or not), and select the right applications for communication purposes.

· Manage all data collection systems within the organization (Electronic Health Record, access database, and HMIS systems of funders) providing ongoing maintenance and training for staff, and monitoring utilization.

· Work closely with leadership team to ensure optimum allocation and utilization of technology resources, as well as the maintenance of the budget for all technology systems and resources in the organization.

· Ensure the security of the agency’s IT assets through the regular review and mitigation of cyber risks and take appropriate steps to reduce the possibility of data breach and/or loss.

· Work with IT vendors and Marian House leadership to develop and implement new technologies that best meet the needs of the organization.

Human Resources

· Serve as strategic advisor and functional expert to the Marian House leadership team regarding talent management strategies, initiatives, and concerns.

· Build and lead the vision for talent management. Develop and execute comprehensive HR, employee relations, and talent management strategies in alignment with the organization’s strategic plan.

· Ensure that all HR and talent management policies, procedures, and processes are aligned with the organization’s mission, culture and values and create new policies and procedures as needed to ensure optimal performance.

· Oversee regular assessment and reporting on employee training and morale with a focus on continuous improvement and development of positive employer/employee relationships to promote staff motivation and retention.

· Work with the leadership team to develop a continuum of professional growth opportunities and training for staff to support the cultivation of talent.

CANDIDATE QUALIFICATIONS/EXPERIENCE

Experience

· A minimum of 10 years of work experience is required, ideally in management, nonprofit administration, or a similar field. Familiarity with human services and nonprofit management preferred.

· Experience stepping into established organizations, establishing credibility, and methodically implementing robust, effective practices.

· Experience hiring, training, mentoring, and developing staff.

· Exceptional problem-solving and decision-making abilities, with a strategic mindset.

· Experience modernizing core infrastructure and anticipating and adapting systems to increase business outcomes, fortify security and manage increasing amounts of data.

· Knowledge of a broad range of technologies, their functions and interrelatedness, To perform this job successfully, an individual must have knowledge of Access and Microsoft Office software (MS Word, MS Excel, MS PowerPoint, MS Outlook).

· Familiarity with a broad range of policies, functions, and leading practices in the areas of HR, technology, and facility operations.

· Proven ability to set vision and strategy and to produce effective organizational changes.

· Proven strategic planning and project management skills and the ability to translate strategies from plans to action.

Education:

Bachelor’s degree required.

COMPENSATION AND BENEFITS
