QUALIFICATIONS:GED or High school diploma is required. Must have excellent interpersonal skills in a mixed culture context. Must be able to establish and maintain supportive working relationships with staff, the public, service groups and facility users. Demonstrated success in providing exceptional customer service required. A minimum of 2 years of work experience in retail, as a receptionist, greeter, administrative assistant or equivalent is required. The majority of this experience should have had high public contact and visibility. Product marketing and sales beneficial and knowledge of opening and closing operations of a cash register. Basic understanding of computers is required with the ability to learn operation of software applications. Must have experience in routine invoicing and deposits, membership payment collection and conflict resolution skills to respond to member inquiries. Proper and professional telephone etiquette is required. Current First Aid, CPR required within 6 months of hire with an ability to obtain either Lifeguard or Water Watcher Certification. Must be available to work during the days/evenings/weekend/holidays.

    RESPONSIBILITIES:

    • Oversee Wellness Services Specialists at the Wellness Center to ensure effective and safe aquatic/fitness service delivery.
    • Serve as MOD during hours of operation when assigned.
    • Assist in the supervision, operations and inventory management of the snack bar.
    • Assist Manager in creating, maintaining and managing team staffing schedule and schedule maintenance in scheduling software.
    • Performs office work directly related to the Wellness Center. Including assisting the members, excellent internal and external customer service, marketing programs, inventories of both the pro-shop and snack bar, prepare and oversee conference room rentals, and completing all closing and opening duties.
    • Consistently promote a positive, professional image of Marimn Health at all times, and provide consistent high-quality customer service to all patrons using the Center.
    • Demonstrate analytical and problem solving skills.
    • Work, and direct others to work, in a safe manner.
    • Assist as needed in Wellness/Coeur Center special events/activities.
    • Responsible for submission of receipts and supporting documents into company electronic financial system for timely payment to vendors or patrons.
    • Actively works beside Wellness Services Staff in support of daily operations and programming.
    • Maintains knowledge and understanding of compliance to HIPAA, confidentiality and patient/customer rights.
    • Assists Wellness Center Manager in developing and recommendations for policy and procedure and maintaining current Membership Services Manual.
    • Trains and on-boards new staff, interns, and summer youth.
    • Demonstrate a comprehensive knowledge of, and comply with the company’s policies and procedures and consistently and appropriately enforce them. Work a schedule that may include early mornings, evenings, weekends, split shifts and holidays in support of Wellness Services operations.
    • Knowledgeable about all Wellness/Coeur Center departments (Managers and front line staff) and their functions and responsibility.
    • Ensures daily cleaning practices are completed in accordance to outlined operational protocols.
    • Develop and execute programs target to holistic health and wellness.
    • Monitoring and regulating safety of fitness programming/equipment and make recommendations for updates and/or replacements.
    • Consistently demonstrate positive, effective communication skills and interactions.
    • Ability and interest to serve a wide variety of members, including children, elderly, physically and mentally disabled and people with health problems.
    • Handles all reservations accurately; adheres to Wellness/Coeur Center policies regarding reservation times, length of booked time, no shows, etc.
    • Enthusiastically greets and checks members in as they enter.
    • Initiates the registration process and registers members in appropriate classes.
    • Responds promptly to patron requests or concerns.
    • Serves as a resource for the members with questions about Wellness/Coeur Center policies, programs or services.
    • Work closely with Management team and Marimn Marketing team on timely submission of special events and sales in relation to membership promotions.
    • Make recommendations to management for signage updates and recommendations in support to daily operations.
    • Answers all incoming calls, forwards calls professionally and efficiently; takes accurate messages as needed.
    • Promotes the Snack Bar, Pro Shop, Concessions and Wellness/Coeur Center events and programs to members as they check in.
    • Takes prospective new members on one-on-one tours using established scripting and training and provides a thorough orientation of membership benefits.
    • Conducts informational tours using established scripting promoting the wellness benefits of the Centers in situations not involving membership sales.
    • Ability to process monthly bills and mail them to members in Manager’s absence.
    • Helps Membership Manager maintain pro-shop, snack bar, concession inventory, equipment, office supplies, etc.
    • Follows all opening and closing procedures.
    • Prepares all orders in the most consistent and efficient manner/order possible, in adherence to delivery date options of vendors.
    • Follows sanitation guidelines in all areas.
    • Takes a physical count of all Pro Shop and Snack Bar inventory every 1st day of the month.
    • Completes final end of year inventory of all Pro Shop and Snack Bar inventory the last day of September.
    • Provides support to Wellness Center Manager
    • Attends facility staff meetings as required, serve on assigned committees and prepare reports as requested.
    • Processes incoming and outgoing mail, coordinates with all delivery services for special or overnight mailing.
    • Assists Wellness Services administration with Wellness/Coeur Center duties such as mailings, telephone campaigns, etc.
    • Assist with monitoring of Pro Shop/Snack Bar inventory and revenue in support of annual budget projections or recommendations in sales.
    • Actively participates in Quality Improvement (QI) activities related to client care and is knowledgeable of QI activities related to the departmental goals and objectives. Prepare and deliver daily bank deposit and submit supporting documentation to Finance in accordance to departmental deposit policy and procedures.
    • Handles point-of-sales transactions and billing payment drop-offs; collects and records fees.
    • Collects guest, Snack Bar and Pro Shop fees as applicable.
    • Prepares daily sales sheets, runs “cash-out reports”, documents cash in till and cash to be deposited, and then sends to Wellness Services Manager to verify for morning deposit.
    • Participates in ongoing education toward applicable and additional certifications.
    • Maintains current certifications, updating when necessary and before expiration date(s).
    • Attends all meetings and trainings as assigned.
    • Performs other duties as assigned.
