The Administrative Assistant position will provide administrative support and customer service in a consistent and professional manner. This position reports directly to the Office Manager. The primary goals of the Administrative Assistant position are:

1. Maintain a consistent level of professionalism and outstanding customer service through quick action and constant follow up.

2. Ensures all records are properly and accurately maintained.

3. Ensures all phones are answered and calls are returned same day by all those who have this responsibility.

These goals are accomplished by providing the following services:

· Promptly answering the phones, returning calls within the same day and addressing concerns or redirecting calls as appropriate.

· Must know and understand all rules, processes and procedures and administers them correctly.

· Providing superior customer service in a friendly, helpful, and efficient manner.

· Serving as the first response to all customer service-related issues, providing response, correspondence, and communications as necessary to address all customer service concerns in a timely and efficient manner.

· Following up on all customer service concerns consistently until the customer verifies that the concern has been rectified to the satisfaction of both parties whenever possible.

· Tracking leases, emailing renewal notices & signing up new leases. Ensures that those signing new leases understand the terms, site standards, preapproval process for additions to the site, park rules and signs all required documents.

· Processing incoming Transfer/New membership applications and inputting new information into management software. Ensure that all membership forms are signed, dated and filed.

· Processing all incoming & outgoing mail.

· Filing to be kept up weekly.

· Maintaining work area in a clean and professional manner.

· Reporting unsafe or hazardous conditions to management. Responding to emergency situations and takes appropriate action.

· Responsibility for keeping track of RV Storage, sites that are available vs leased, sending bi-annual RV storage lease statements, and ensuring payments are made timely.

· May be asked from time to time to serve as back up at the Access Control Gate.

· Help plan, coordinate and participate in Holiday weekend activities. Works with Board Activity Committee Lead to ensure volunteers are secured to assist as needed.

· Developing positive relationships with Member/Owners and promoting a positive image of Marina Village Resort.

· Performing other duties as assigned.

Requirements:

· A minimum of 3 years’ experience in customer service, administrative support, or sales.

· Strong working knowledge of current customer service techniques and procedures.

· Ability to deal effectively with all types of people.

· Ability to speak and write English.

· Basic math skills.

· Advanced computer skills: typing, email, operation of MS Office applications, and operation of windows-based software as training provides.

· Proficient writing skills.

· Basic analytical skills.

· A background check and a pre-employment drug screen are also required.

· Take pride in the environment the team is responsible for.

· Be detail oriented and hard working.

· A positive attitude with a smile is a must because this role is a front-line position to our member/owners, other personnel or Guests.

· Must be able to work Easter, Memorial Day, 4th of July, Labor Day & Halloween Weekends

· Regular attendance is required.

Job Type: Full-time

Pay: $14.00 per hour

Expected hours: 35 per week
