Position SummaryReporting to the Principal of Marist School, the Executive Assistant is the primary point of contact for all matters related to the Office of the Principal. The Executive Assistant is crucial in providing administrative support and facilitating effective communication within the school. The Executive Assistant must be forward-thinking and enjoy working in an educational setting driven by the Marist School mission. The ideal individual will exercise sound judgment in various situations and have strong communication, administrative, and organizational skills. The Executive Assistant must be able to work independently on projects from conception to completion and must be capable of meeting strict deadlines.
Duties And Responsibilities
  • Complete various administrative tasks for the Principal, including calendar management, meeting arrangements, communication, expense reports, credit card reconciliation, travel arrangements, and coordination of special functions.
  • Oversee the school's memberships with organizations such as AAIS, NAIS, SAIS, NCEA, GISA, ISM. Ensure annual renewals, update school rosters, and manage membership logins for the Principal.
  • Reconcile the Principal’s monthly credit card statement. Code invoices for payment through the Business office. Review the Principal’s monthly budget reports for accuracy.
  • Prepare agendas and materials for Dean’s Meetings, Principal’s Council, and Faculty & Staff Meetings, among others. Attend meetings, take minutes, send reminders, and follow up on action items.
  • Support the faculty hiring process, including reviewing resumes, scheduling interviews, and managing travel reimbursements. Act as liaison for hiring fairs and work with the Communications department to prepare promotional materials.
  • Facilitate faculty “Intent to Renew” forms before Christmas break. Serve as key contact for assembly, distribution, and storage of faculty and administrator contracts distributed before spring break. Schedule meetings and follow up with faculty regarding their contracts throughout the year.
  • Maintain all former and current faculty files.
  • Manage the faculty and staff awards and recognition programs (longevity awards, Fall awards, retirement lists) by creating surveys, compiling data, and ordering appropriate plaques, pins, and gifts.
  • Oversee the student award process in the Spring by compiling eligible candidates, communicating with faculty about voting details, ordering awards, and requesting checks from the Business Office.
  • Coordinate aspects of the Baccalaureate Mass and Graduation, including vendor contracting, diploma ordering, gown procurement, ticket distribution, and event logistics.
  • Work with the senior class moderators to update the senior page on the website with correct dates and information regarding senior events such as prom, Baccalaureate, Graduation, Project Graduation, etc.
  • Organize special events hosted by the Principal, such as the Archbishop’s Award Banquet, Hiring Dinner, New Employee Reception, and Deans’ Retreat.
  • In partnership with the Dean of Faculty, manage communications with parents regarding mandatory meetings, including arranging virtual attendance options.
  • Serve as lead for AP Summer Institute, which occurs over 2-3 weeks each June. Work with College Board representatives, attend training each October & April, select institute dates, confirm consultants, organize registration website, source hotel bids, update online presence, communicate with consultants, send out marketing emails, order supplies, coordinate meals, manage registrations, process invoices & payments, and work as the onsite event manager during all sessions.
  • Other duties as assigned.

Qualifications/Requirements
  • A Bachelor’s degree with at least 2-3 years of administrative assistant experience in an independent school environment is preferred.
  • Ability to work independently with professionalism. Requires strong oral and written communication skills for effective interaction across various constituencies.
  • Demonstrates excellent organization and time management abilities, managing multiple deadlines while maintaining motivation and focus.
  • Skilled in building relationships within the school and broader community.
  • Possesses sound judgment, with a capacity to handle confidential and sensitive information.
  • Exhibits meticulous attention to detail and a dedication to accuracy.
