mark vc is Hiring an Assistant to Chief Executive Officer Near Austin, TX

We are seeking a highly organized and dynamic individual to join our team as an Assistant to the CEO. This role involves providing comprehensive support to the CEO in managing both business-related tasks as well as some personal household tasks. The ideal candidate will possess exceptional coordination, adaptability, organizational, multi-tasking, and communication/writing skills, with a keen eye for detail. We’re looking for someone who is a driven, self-starter who prefers autonomy and has a can do, positive attitude. This person will be able to keep themselves accountable from a primarily remote work environment. The ideal candidate is precise, accurate, and discerning, and they love to act as a "second brain" to dynamic founders. Previous experience in personal or executive assistant roles is advantageous, as this position requires handling various responsibilities in a fast-paced environment. Experience in venture capital, finance, or legal environments is a plus. This is a hybrid position with some in-person responsibilities.

Location: Austin, TX (Required)

Responsibilities:

1. Business Coordination and Organization (60%):

  • Manage the CEO's business calendar, scheduling meetings, conference calls, travel arrangements, events, and appointments.
  • Organize and prepare materials for meetings, including agendas, background research, and reports.
  • Coordinate with team members to ensure projects and deadlines are on track.
  • Assist in tracking business expenses and organizing receipts.
  • Assist the CEO's team with ad hoc operational projects.
  • Handle administrative tasks, such as managing emails, drafting correspondence, and taking notes during meetings.
  • Coordinate and manage company events, including sending invites to attendees, coordinating logistics with event venues, partners, and sponsors, checking in attendees, and ensuring events run smoothly.
  • Manage CRM data entry

2. Personal Household Support (40%):

  • Manage the CEO’s personal calendar, appointments, and reminders.
  • Handle travel arrangements, including flights, accommodations, and itineraries.
  • Coordinate household activities, including maintenance, repairs, and other tasks as needed.
  • Assist with running family errands including pickups.
  • Maintain confidentiality and discretion in handling personal matters.
  • On occasion, drive CEO’s children to school or extra-curricular activities and babysit when a scheduling conflict arises.

Requirements:

  • 1-2 years of proven experience as a Personal or Executive Assistant or in a similar role is preferred.
  • Experience working with an executive in venture capital, finance, law or a related field, is preferred.
  • Exceptional organizational and time-management skills.
  • Strong attention to detail and ability to multitask effectively.
  • Excellent written and verbal communication skills.
  • Proficient in using productivity tools such as Microsoft Office suite, Google Workspace, etc.
  • Experience with CRMs is a plus
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Highly proactive and able to anticipate the needs of the CEO.
  • Flexibility to work outside regular office hours if needed.
  • Enthusiastic team player with a positive attitude and strong work ethic.
  • Caring and empathetic individual who loves to go the extra mile.
  • Valid driver's license and demonstrated driving experience, as the role involves running errands and handling various tasks that require local travel.
