JOB PURPOSE

The Payroll Specialist plays a crucial role within the organization by supporting human resources and payroll functions. The Payroll Specialist ensures accurate and timely processing of payroll for employees.

RESPONSIBLITIES

• Scrutinize timecards and collaborate with superintendents or foremen to address any discrepancies.
• Transfer hours from the timecard tracking system or paper timecards to the payroll platform.
• Efficiently process payrolls within the payroll platform, ensuring accuracy and timeliness.
• Run necessary reports to close and post payroll in accounting systems.
• Prepare and submit labor compliance documents for public works projects.
• Submit certified payroll reports to corresponding systems (such as LCP Tracker, EMARS, and DIR).
• Onboard new field employees and maintain their records, including drug test results.
• Handle benefits enrollments (insurance, 401(k), etc.) for field employees.
• Address benefit deductions, time-off requests, allowances, and other payroll-related matters.
• Respond to requests from government agencies (such as EDD and Franchise Tax Board).
• Assist other departments (field employees, superintendents, project managers/engineers) with their requests (e.g., missed hours, lost checks, personal account inquiries in Paylocity).
• Maintain data correspondence across different systems (Spectrum, Paylocity, HCSS).
• Complete additional tasks and projects on a case-by-case basis.

QUALIFICATIONS

• Minimum of 3 – 5 years of Payroll experience.
• An Associate’s degree (AA) or Bachelor’s degree (BS) in Accounting, Finance, or Business is preferred.
• Proficiency in the MS Office suite (Word, Excel, PowerPoint, etc.).
• Familiarity with email and internet usage.
• Ability to manage multiple projects with exceptional accuracy and prioritize workload effectively.
• Strong verbal and written communication skills.
• Analytical problem-solving abilities and comfort handling confidential documents.
• Capable of handling multiple tasks and meeting deadlines under pressure.
• Demonstrates a strong sense of ownership over work product.
• Meticulous attention to detail.

WORKING CONDITIONS

While performing the duties of this job, the employee is regularly required to stand; walk; sit and talk or hear. The employee is occasionally required to reach with hands and arms.
