Maryland Municipal League is Hiring an Associate, Executive Office Near Annapolis, MD

POSITION TITLE: Associate, Executive Office

Working with a professional staff team to deliver leadership training, membership customer service, and event management. This position is designed to be the first touch point to the League and its members. Serving 160 local governments and providing a collective voice, MMLs work impacts over 2 million Marylanders.

NATURE OF WORK

This administrative support role will work to support the mission of the professional association representing the 160 cities, towns and villages of Maryland. The role will include both significant routine and complex clerical and administrative duties in support of the executive office. The position is hybrid. The ideal candidate is detail-oriented, organized, and is interested in local government and community. A passion to make a difference goes a long way as does a sense of humor.

EXAMPLES OF WORK 

(The examples are for illustration only and not intended to be all-encompassing. All examples may not be performed by all incumbents in the classification.)

The Associate: 

  1. Performs routine and complex word processing from dictation, transcription, handwritten and other draft formats. This is to include, but not limited to preparing official CEO correspondence for execution.
  2. Establishes and maintains filing and related record keeping systems and serves as the custodian of all relevant documents to ensure adequate and accurate files and records are maintained for the managerial and administrative affairs of the MML. Examples include the employee handbook and internal policies.
  3. Leads office operations including supply inventory, coordination with landlord, rental unit management, mail system, and other various tasks. Occasional handling of in-office events with MML member groups and affiliates.
  4. Assists with the Board of Directors by, among other things, coordinating reports and distribution lists.
  5. Coordinates travel itineraries for the CEO and applicable Board members and assists in the processing of expense reports on a monthly basis.
  6. Provides event planning support for various meetings and luncheons on premises as well as off, and well as scheduling and planning of team meetings and functions.
  7. Assists the Controller with routine accounting functions, as well as serving as a point of contact for various contracts.
  8. Performs other duties and responsibilities as may be assigned by the executive team and are consistent with this position.

DESIRED QUALIFICATIONS

  • Previous experience providing administrative support 
  • Excellent written and communication skills, with an ability to interact professionally at all times. 
  • Proficiency with Microsoft 365, including SharePoint, OneDrive, and Microsoft Teams. 
  • Familiarity with Canva (graphic design experience a plus!). 
  • Well-organized and detail-oriented. 
  • Ability to multitask effectively and prioritize tasks to meet deadlines. 
  • Outstanding problem-solving skills and ability to work independently. 
  • An ability to maintain confidential information.
  • An implementation of contemporary records management practices and the skills to implement and maintain office administrative systems (e.g., filing organization and routines, calendar management, reminders, coordination with others, complaint tracking) sufficient to meet the on-going needs of the executive team.

ADDITIONAL DESIREABLE KNOWLEDGE, SKILLS & CAPABILITIES 

  1. Associate degree in business administration or related field or at least a 2-year similar professional experience.

2. Working knowledge of and experience with Microsoft Office 365, Sharepoint, Outlook.

3. Knowledge and experience in small event planning and budgeting.

4. CRM Software experience (e.g. MemberClicks).

5. Canva and other graphic design programs.
