Job Summary

The Assistant Project Manager works collaboratively to support the Project Team with technical review of Core Program project submittals and analysis of associated planning and design materials. The Assistant Project Manager independently generates standard reports as well as executive summary materials based on research and input from MSBA staff, school districts, and professional consultants.

ESSENTIAL FUNCTIONS AND RESPONSIBLITIES

  • Provide support for technical reviews of components of reports, plans, specifications, and cost estimates prepared by professional consultants to ensure compliance with program criteria, building code requirements, and procurement regulations and statutes with direction from the Senior Project Manager and/or Design Director.
  • Monitor Core Program projects for scope, budget, and schedule to ensure compliance with MSBA guidelines and funding agreements under the direction of the Senior Project Manager. Prepare and present findings associated with the status and/or revisions of Core Program project schedules.
  • Support Project Team staff with issuing memoranda and other documentation as a result of technical review findings and recommendations and participate in associated meetings to discuss findings with other MSBA staff members, professional consultants, and local school district representatives.
  • Provide support associated with conducting technical evaluations of school design challenges and concepts, building code impact, project cost data, and proposed legislation and regulations to determine potential impact to MSBA programs under the direct supervision of the Senior Project Manager.
  • Provide support associated with the collection, analysis, and presentation of school facility data under the direction of the Senior Project Manager.
  • Provide support associated with documenting MSBA standards and procedures, through generation of final presentation materials and the posting of Project Advisories, under the direction of the Senior Project Manager.
  • Provide support associated with the review of components of school district submittals related to the design, constructability, value engineering, and cost estimating prepared by the designer during feasibility and schematic design under the Senior Project Manager.
  • Provide support associated with the development of internal staff training materials and presentations with minimal supervision.
  • Periodically travel to school buildings and/or school building construction project sites throughout Massachusetts while representing the MSBA to observe as-built conditions and/or construction progress.
OTHER DUTIES and RESPONSIBLITIES
  • Provide support associated with the preparation and coordination of documents and/or presentation materials required for MSBA subcommittees and Board of Directors meetings. 
  • Support the Senior Project Manager associated with the coordination and technical oversight of Project Assistant(s) and Co-op student/Intern task assignments. 
  • Support the effort to update and maintain Core Program project data/information in the MSBA’s Project Management system.
  • Potential to perform other duties as assigned. 
REQUIRED QUALIFICATIONS
  • Bachelor’s degree in at least one of the following: architecture, engineering, construction, project management, or related field. 
  • One-to-three years of experience associated with architecture, design, construction, project management, or other applicable disciplines.
PREFERRED QUALIFICATIONS
  • Demonstrated experience associated with public construction and/or educational facilities, knowledge of Massachusetts public bidding laws, and/or previous experience working with federal, state, county, or local government.
  • Active enrollment and in good standing in the National Council of Architectural Registration Board (NCARB) Architectural Experience Program (AXP). 
KNOWLEDGE, SKILLS, and ABILITIES
  • Experience associated with public construction and/or educational facilities, knowledge of Massachusetts public procurement and bidding laws, and/or previous experience working with federal, state, county, or local government is preferred.
  • Possess a thorough understanding of the design process from conceptual phases through construction documents.
  • Ability to effectively manage multiple tasks including gathering, analyzing, and presenting complex technical information in a clear, concise, and comprehensible manner.
  • Ability to prioritize work assignments.
  • Ability to work independently and as part of a team.
  • Possess strong verbal and written communication skills. 
  • Ability to gather, analyze, and present data and technical information in a clear, concise, and comprehensible manner.
  • Possess good attention to detail.
  • Possess proficiency in Microsoft Office 365 software applications, including Excel, Word, PowerPoint, SharePoint, and Outlook. Knowledge of Tableau software is a plus.
