The Administrative Assistant I will work as part of a team that serves as a main point of contact for internal and external inquiries related to financial aid and student accounts. This role is expected to provide exceptional customer service through phone, email, in-person, and virtual interactions with students, families, and the campus community. Additionally, this position will help students navigate the college financing process and offer general administrative support to the Student Accounts and Financial Aid Offices.
Job responsibilities include, but are not limited to:
- Efficiently handle a significant volume of inquiries primarily via telephone and email, addressing questions related to student financial aid and billing with professionalism and accuracy.
- Provide guidance to students and families regarding institutional financial policies, student account charges, payment information, education financing options, the financial aid application process, eligibility requirements, financial aid awards and disbursement.
- Inform students about their financial aid application status and eligibility by reviewing and explaining financial and academic information
- Provide comprehensive support to students and parents in effectively utilizing self-service options in the student portal.
- Maintain an in-depth understanding of federal, state and institutional policies including FERPA (Federal Educational Rights and Privacy Act of 1974).
- Oversee the processing, review, scanning, indexing, and tracking of confidential documents, while maintaining quality control to ensure accuracy and completeness.
- Post payments to student records using the Banner system.
- Perform general administrative support such as document management (copying, filing, scanning, indexing), mail processing, and letter printing and distribution.
- Process waivers and coordinating with external agencies responsible for student sponsorship.
- Provide administrative support for the Federal Work-Study program and assist with the general oversight and training of work-study students employed by Student Financial Services.
- Execute special projects, outreach initiatives, and other assigned duties as needed.
- Represent Student Financial Services within the Massasoit community, including but not limited to new student orientations, open houses and in-person and virtual enrollment and recruitment events. This position may require occasional overtime, weekend, and evening work.

Required:
Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.
Substitutions:
I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.*
II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*
- Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
Preferred Qualifications:
- Experience working with and supporting a diverse population.
- Exceptional interpersonal, oral, and written communication abilities.
- Payment processing experience.
- Working knowledge of Microsoft Office, particularly Word, Outlook and Excel.
- Functional experience with Banner, or similar ERP systems.
- Experience working in higher education, preferably in a community college.
- Familiarity with federal and state financial aid policies.
- Demonstrated customer service skills, adept at assisting students and families.
- Fluency in multiple languages.
Additional Information:
Position Status: AFSCME union position, full-time, state funded with benefits.
Hours: 37.5 hours per week. This position may be eligible for telework in accordance with the College's telework policy.
Salary: $1,969.30 bi-weekly/$51,201.80 annually
