SummaryUnder the direct supervision of the Primary Care Clinic Manager, the Medical Assistant is responsible for providing excellent customer service through effectively managing the lab schedule, performing blood draws and specimen collection, performing x-rays and EKGs, administering vaccines, managing the vaccine inventory and managing lab supplies. This position may also be called upon to assist in managing provider schedules, ensuring communication between providers and patients, and, under the supervision and direction of providers, performing a variety of medical procedures in the primary care and/or behavioral medical department.
Essential DutiesTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • This position requires compliance with MSHS’ compliance standards, including the Code of Conduct, Compliance Program, and policies and procedures. Such compliance will be an element considered as part of the regular performance evaluation.
  • Collect and/or prepare laboratory specimens for courier pick-up and complete all documentation needed to process insurance.
  • Manage the lab schedule to ensure efficient and timely patient care.
  • Prepares for scheduled lab appointments by:
    • auditing appointments to ensure appropriateness of visit and adequacy of time scheduled
    • ensuring the needed orders, documents and vaccines are available prior to the visit
    • assisting patients with the completion of paperwork
    • preparing equipment for examination/procedure.
  • Complete in-house x-rays and EKGs orders.
  • Keep lab room stocked with adequate supplies.
  • Administer vaccines and medication injections.
  • Maintain vaccine inventory, manage the vaccine inventory in the EMR and reconcile inventory with Vaktrak.
  • Maintain accurate, detailed reports, records, logs and required checklists (ie: refrigerator/freezer temperature).
  • Performs procedures as delegated by provider and under scope of practice.
  • Assists providers with medical procedures as delegated by provider and under scope of practice.
  • Assist patients any time need is apparent or as directed by the provider.
  • Adhere to documentation submission standards as outlined in MSHS policies and procedures.
  • Participates in mandatory “Code” and emergency drills.
  • May schedule follow up and referral appointments.
  • Assists patients and clients with filling out paperwork and assessments as needed.
  • Keep rooms stocked with adequate medical supplies, wash and dry instruments used, and sterilize as required.
  • Answer patient phone calls and provide feedback and answers to patient/provider/pharmacy calls.
  • Manage incoming phone calls by prioritizing urgency of phone calls, asking pertinent follow up questions and giving all information to provider.
  • Assists with patient care coordination including notifying patients of laboratory results, scheduling referral appointments, follow up of health maintenance needs, and responding to patient telephone calls as directed by providers.
  • Completes forms as needed by providers.
  • Address incoming paperwork (including faxes), or distribute as needed.
  • Put away incoming supplies (including medications) immediately according to protocol.
  • Calls “no show” clients to assist in rescheduling.
  • Assists in standing order refills on medication.
  • Monitor content of medicine closet weekly for supply and dates.
Non-essential Duties
  • Assist team members as needed to provide excellent patient care.
  • Cross-train for other positions within FQHC.
  • Other related duties as assigned
Knowledge Skills And AbilitiesIncumbent must be able to demonstrate:
  • Ability to work as a team member, with other staff and patients, towards the common goal of delivering quality health care.
  • Working knowledge of the principles of medical assisting.
  • Knowledge of commonly used medications and their effects.
  • Knowledge of medical terminology and equipment.
  • Proficient in the application of medical assisting techniques.

  • Ability to observe, evaluate and report reactions and changes in the physical and mental conditions or status of patients.

  • Ability to think and act quickly in emergencies.
  • Working knowledge of accurate documentation and appropriate use of records.
  • Knowledge of basic clinical procedures and equipment, and ability to use computer programs to include Word, Excel, other Microsoft products, and electronic health records.
  • Working knowledge of HIPAA laws and ability to apply them. .
  • Ability to communicate effectively, both orally and in writing, and to relate in a positive, courteous, and caring manner to staff and the individuals seeking services.
  • Ability to interact positively with individuals and families from a wide range of socioeconomic and ethnic backgrounds as well as alternative lifestyles.
  • Ability to work independently, remain self-motivated, and promote cooperation and cohesiveness among co-workers.

Minimum Education And ExperienceGraduation from an accredited medical assistant program preferred. Certification as a medical assistant required.
  • Two years of clinical experience preferred.
  • Experience using computer programs including, but not limited to Microsoft Office products and electronic health records.
  • Experience in a behavioral healthcare setting preferred.
General Requirements
  • Clear background check (subject to DHSS background check)
  • Current tuberculosis screening test result
  • Current driver’s license; clean driving record history
  • Basic Life Support certification must be obtained within two weeks of hire. CPI (Nonviolent Crisis Intervention) certification must be obtained when offered through the agency; it may substitute the current MANDT certificate for CPI.
