Join the McCarton Foundation and help transform lives! We’re seeking passionate and dedicated Early Intervention Case Managers to oversee a caseload of children receiving Early Intervention (EI) services. You will ensure compliance with all children files so that they meet Bureau of Childcare (BCC) and Bureau of Early Intervention (BEI) regulations to avoid violations and fines, and ensure each child is working toward their Individualized Family Service Plan (IFSP).

Compliance in the EI Program is essential to the McCarton Foundation's mission to provide exceptional services to children. As an Early Intervention Case Manager, you will promote best business practices to prevent the incorrect payment of billable services, reduce costs related to audit citations, and prevent the return of erroneously billed or documented cases.

What You'll Do

  • Reporting and Documentation: Run reports in digital software for Progress Reports, Gaps in Service, and other deliverables. Document all communications in the ProviderSoft system.
  • File Management: Request files from Service Coordinators, Parents, and Providers for children's case files. Obtain paperwork using email, fax, and in-person meetings. File paperwork in digital files, and upload into the New York Early Intervention System (NYEIS), and ProviderSoft.
  • Family Communication: Communicate with families about services and provide in-person tours. Explain procedures and expectations to families.
  • Deadline Management: Effectively manage deadlines for age-outs, closures, prescriptions, and medicals.
  • Administrative Support: Assist the Early Intervention Team with administrative duties such as bussing, reception, and other office procedures.

Requirements

  • Minimum of a high school diploma or equivalent.
  • Experience with ProviderSoft, or a similar platform, or with data entry.
  • Strong organizational, technical, computer, communication and interpersonal skills.
  • Ability to follow through on tasks and meet deadlines.
  • Ability to take direction and constructive feedback.
  • Ability to effectively work in teams.
  • Passionate about serving our community and mission.
  • Bilingual in Spanish is strongly preferred.
  • College coursework in administration, medical services, social work, or an equivalent professional background is preferred.
  • At least 2 years of experience in Early Intervention or a similar field is preferred.

Salary and Benefits

  • Salary: $42,500 - $52,500 annually.

  • Schedule: 9:00 am - 5:00 pm, Monday - Friday, full-time, 12-month position.

Measures of Success

  • Relationship Management: Maintain positive relationships with external Service Coordinators as overseen by the Early Intervention Program Director.
  • File Management: Ensure all digital and center case files are up to date and compliant, with no violations during internal and external BCC or BEI audits.
  • Deadline Adherence: Meet all project deadlines, ensuring timely communication and responses within department guidelines.
  • Professional Relationships: Foster strong professional relationships with families and team members.
  • IFSP Monitoring: Contact Service Coordinators 4-6 weeks before the IFSP end date to ensure timely updates and compliance.
  • Case Closures: Complete 5 closed cases per week, maintaining high standards of accuracy and efficiency.
  • Customer Service: Maintain a high level of customer satisfaction with no complaints from Service Coordinators, and consider survey feedback for continuous improvement.
  • Training Completion: Successfully complete the training program, demonstrating competence and understanding of job responsibilities.
  • Time Management: Efficiently manage time to meet all responsibilities and objectives.
