Job Title: Payroll Associate II

Department: Payroll, Benefits, and Human Resources

Manager: Manager – Payroll, Benefits & Human Resources

Status: Non-exempt

Summary:

Provides support in all areas of Payroll, Benefits, and Human Resources which will include accounting tasks, employment record maintenance, development and training, and payroll preparation. Responsible for accurately processing payroll transactions, ensuring compliance with relevant regulations and company policies, and providing support to the Human Resources department regarding payroll-related matters. This role plays a critical part in maintaining employee satisfaction by ensuring timely and accurate payroll disbursements. Relies on instructions and pre-established guidelines to perform the functions of the job. Works under immediate supervision. Reports to the HR Manager.

Essential Duties and Responsibilities:

  • Assist with and eventually lead payroll journal entries.
  • Ensure accurate information for current and new employees is reflected in payroll database; verifying and providing inputs regarding data and pay changes.
  • Follow outlined SOPs to complete payroll.
  • Review employee timesheets to ensure that the payroll system is accurate.
  • Manager and employee training regarding time card and PTO approvals.
  • Process regular and supplemental monthly payroll reports for all employee groups; perform complex payroll calculations; verify information from relevant forms; audits, correct and balance payroll and variety of reports.
  • Prepare payroll reports such as benefits and state and federal reports.
  • Record financial transactions, maintain accounting records, and prepare reconciliations.
  • Assist with data entry and maintenance of employee records.
  • Other duties, tasks, and responsibilities as assigned.

Payroll Processing:

  • Process payroll transactions accurately and efficiently using designated payroll software.
  • Calculate wages, deductions, and withholdings, ensuring compliance with company policies and relevant regulations.
  • Review and verify payroll data to ensure accuracy before final processing.
  • Handle any payroll discrepancies or issues promptly and effectively.

Compliance and Reporting:

  • Stay updated on relevant federal, state, and local regulations pertaining to payroll processing, taxes, and reporting requirements.
  • Ensure compliance with all legal and regulatory requirements, including tax filings, wage garnishments, and other deductions.
  • Prepare and submit payroll-related reports to management and all government agencies as necessary.

Record Keeping and Documentation:

  • Maintain accurate payroll records, including employee information, tax withholding forms, and payment records.
  • Generate payroll reports and statements for internal and external auditing purposes.
  • Ensure confidentiality and security of payroll data at all times.

Payroll Administration Support:

  • Assist in the administration of employee benefits, including health insurance, dental insurance, additional benefit insurance, and company 401(k) through Vanguard.
  • Provide support to employees regarding payroll inquiries, issues, and concerns.
  • Collaborate with other HR team members to ensure seamless integration of payroll processes with other HR functions.

Process Improvement:

  • Identify opportunities for process improvements and efficiency enhancements in payroll processing.
  • Participate in payroll system upgrades or implementations, providing input and support as needed.
  • Implement best practices to streamline payroll operations and enhance accuracy and compliance.

Education and Experience:

  • Associate (acceptable) or Bachelor (preferred) in Accounting.
  • Has knowledge of commonly used concepts, practices, and procedures within the Accounting Field.
  • 3–5 years previous experience in Accounting.
  • 1–2 years previous experience in HR a plus but not necessary.
  • Proven experience in payroll processing, preferably in a corporate or HR environment.
  • Strong understanding of payroll principles, regulations, and best practices.
  • Proficiency in payroll software, experience in ADP and/or Paychex (preferred), expert in Microsoft Excel.

Job Type: Full-time, 40 hours a week.

Schedule: 8:15am – 5:00pm, Monday – Friday.

Location: Fairview Park, OH (candidates must live within 30 miles of Fairview Park).

Work Status: Office with potential Hybrid.

After training is complete, the candidate will have the option to utilize one remote day a week. This will be the same day each week (Tuesday, Wednesday, or Thursday). The amount of training necessary before moving to this schedule will depend on the candidate’s progression and the team’s workload.
