Position Announcement

Administrative Specialist I Jail Clerk

Salary Range: $17.1735/hour

Position Status: Full Time

Position Summary

This is a general clerical and secretarial position involving duties of moderate difficulty in the completion of many and varied clerical assignments as well as maintaining security for entrance and exit of the McLean County Detention Facility. Position involves monitoring security cameras on the first floor of the facility. Detailed instructions are received at the beginning of work and for new assignments, but regular routine assignments are performed independently, and some initiative must be exercised. Work is subject to close supervision while in progress upon completion for accuracy and adherence to established standards and procedures. This position is highly demanding and requires the ability to multitask and work well in a fast-paced environment and challenging situations.

Essential Duties and Responsibilities

Sorting and logging all incoming and outgoing inmate mail, distributing mail throughout the McLean County Detention Facility.

Answer inmate request forms regarding mail, property, and general questions. Direct request forms to the appropriate personnel.

Verification and endorsement of inmate money orders.

Process public for inmate visitation, ensure that only authorized visitors enter the visiting area.

Work with outside vendors (telephone provider and tablet provider) to troubleshot and repair problems with systems when appropriate.

Answer and direct phone calls from police agencies, press, public, McLean County departments, and other agencies and make referrals as needed.

Notarize paperwork for inmates.

Run LEADS inquiries and criminal histories for correctional staff. Maintain LEADS briefing logs.

Receive, release and accurately document inmate property; verify paperwork authorizing release of property or money with the releasing inmate.

Prepare informational reports and incident reports.

Order office supplies for the McLean County Detention Facility and maintain adequate stock at work posts for correctional officers, sergeants, control operators, and clerks.

Maintain confidential information and be able to appropriately discern when and what information can and cannot be released to the public.

Receive shipments and deliveries.

Monitoring security cameras of holding cells, booking lobby, and sally port.

Knowledge, Skills and Abilities

Knowledge of judicial procedures and court system is beneficial

Ability to process large groups of individuals

Ability to multitask

Skill in customer service

Some knowledge of accounting practices and principles, as required by the position

Knowledge of local government operations, Human Resource related programs, policies and plans, and modern office practices and procedures

Knowledge of Microsoft Word and Excel

Ability to resolve problems and take corrective action through the use of good judgment

Ability to establish and maintain effective working relationships with other employees, the general public and law enforcement community

Ability to sit at a computer terminal or receptionist station for periods of two hours or more

Ability to communicate effectively, both orally and in writing

Ability to understand and follow oral and written instructions

Ability to undertake responsibilities of increasing variety with initiative and good judgment

Ability to learn assigned clerical tasks and adhere to prescribed departmental routines and policies

Ability to work pleasantly and cooperatively with the public, law enforcement agencies, court, co- workers, medical personnel etc.

Ability to learn and operate the visitation system and coordinate the visits with correctional staff, and log professional visits.

Ability to learn and operate inmate telephone and tablet systems.

Ability to learn and operate Jail Management System.

Ability to monitor and respond to radio traffic clearly and calmly.

Ability to assist in emergency situations, summons assistance for correctional personnel as necessary, quickly and in a professional and calm manner

Required Qualifications

Graduation from an approved high school or GED equivalent, or any equivalent combination of training or experience that provides the required knowledge, abilities and skills.

Physical Demands

The work is sedentary work which requires exerting up to 20 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Requires mental acuity including the ability to make rational decisions through sound logic and deductive processes, the ability to express ideas by means of the spoken word and possess close visual acuity.
