JOB TITLE : Attendance Secretary

SALARY LEVEL : Classified wage schedule

BENEFITS PACKAGE : According to district classified employee policies.

DURATION OF CONTRACT : 187 day contract

LOCATION : High School

SUMMARY

The Attendance Secretary provides office and clerical support to assist with the efficient operation of the school

district. To accomplish these tasks, the Attendance Secretary works closely with the staff and administration of USD

418.

EDUCATION AND EXPERIENCE

1. High school diploma. Education in business courses related to performance responsibilities

beneficial.

2. Administrative assistant experience.

3. Basic computer skills.

4. Characteristics that reflect accuracy and neatness in carrying out tasks.

5. Ability to deal professionally with the public and employees.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The essential duties and responsibilities of this position will be the following :

1. Provide office and clerical support to assist with the efficient operation of the school district.

2. Ensure that all activities conform to district guidelines.

3. Communicate effectively with all members of the school district and community.

4. React to change productively and handle other tasks as assigned.

5. Appropriately operate all equipment as required.

6. Screen visitors and telephone calls, directing them to the appropriate person / department.

7. Compose, type, and copy correspondence,reports, bulletins,records, and other materials.

8. Obtain, gather, and organize pertinent data as needed.

9. Maintain an orderly filing system.

10. Schedule appointments, make travel arrangements, and assemble material for meetings.

11. Assist in planning meeting agendas, and assist in preparing meeting summaries.

12. Maintain accurate attendance records, and report attendance problems to the Principal.

13. Call parents to confirm absences.

14. Distribute office passes and notes as directed.

15. Maintain and submit a daily log of school hours completed.

16. Assist with reporting of achievement test results.

17. Maintain an accurate inventory of students’ books and teacher materials.

18. Prepare transcripts for college bound and transfer students. (High School)

19. Maintain accurate student cumulative folders.

20. Maintain permanent grade records.

21. Coordinate the parent / Teacher conference schedule.

22. Assist with preparing student awards and organizing the end of the year awards assembly.

23. Order, receive, and distribute supplies.

24. Administer first aid to ill / injured students in the absence of the school nurse according to school

policy.

25. Assist in training new employees.

26. Place orders for materials, verify quantities delivered, and distribute to staff.

27. Keep abreast of new information, innovative ideas and techniques.

28. Adhere to all district health and safety policies, including all precautions of the Bloodborne

Pathogens Exposure Control Plan.

29. Other duties as assigned by the Principal.

31. Perform duties within the rules, regulations, and policies of McPherson USD 418.

32. Monitor daily attendance and prepare reports for Administration as needed.

LANGUAGE AND COMMUNICATION SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, technical

procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure

manuals. Must have the ability to effectively present information and respond to questions from groups of

managers, clients, customers, and the general public.

MATHEMATIC SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common

fractions, and decimals. Ability to compute rate, ratio, and percent; and to draw and interpret bar graphs.

TECHNOLOGY SKILLS

Operation of computer keyboard and telephone equipment is essential. Knowledge of basic computer

operations of database management, spreadsheet, and word processing are fundamentals to many of the

job functions of this position.

REASONING SKILLS

Ability to solve practical problems and deal with a variety of concrete variables in situations where

limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral,

diagram, or schedule form.
