DescriptionJoin our mission to combat cancer through exceptional patient care, research, and prevention programs. As the Operations Manager for the Thoracic Head and Neck Medical Oncology department, you will play a pivotal role in ensuring the smooth operation of our department. You will be the primary contact for faculty and staff seeking support from the central administrative office and will collaborate closely with the Department Administrator on various projects and initiatives.
Key Responsibilities
  • Department Management
    • Manage daily operations of the department and serve as the main contact for faculty and staff.
    • Collaborate with the Department Administrator on project planning, milestone tracking, and process improvement.
    • Represent the department in meetings in the absence of the Department Administrator.
    • Assist in preparing financial and annual reports, and manage departmental forms and information systems.
    • Oversee departmental initiatives, ensuring accurate documentation.
    • Provide guidance and training to department staff, developing and updating departmental processes and manuals.
  • Financial Management
    • Review and approve financial transactions and supply orders, ensuring budget compliance.
    • Identify opportunities for cost reduction and manage expenses effectively.
  • Human Resource Management
    • Manage staff, projects, and activities to support clinical and research areas.
    • Coordinate faculty and classified personnel issues, handle recruitment, and oversee performance evaluations and onboarding.
    • Ensure compliance with institutional and departmental policies, including management of the VISA process.
  • Personnel Management
    • Supervise a team of administrative support assistants, managing recruitment, training, workflow, and performance.
    • Serve as a liaison with various departments and handle administrative support staff issues diplomatically.
  • Planning and Development
    • Assist with department space planning and property control, developing procedures for the administrative support area.
    • Recommend equipment procurement and maintain the departmental administrative area.
  • Inventory Control
    • Conduct annual inventory, maintain offsite equipment records, and order/install IT equipment.
  • Additional Duties
    • Perform other related duties as assigned.
Education And Experience
  • Required:
    • Bachelor's degree in Business Administration, Healthcare Administration, or a related field.
    • Four years of professional/administrative experience, including two years in a supervisory role. Additional years of experience may substitute for the required degree on a one-to-one basis. Completion of specific management programs can substitute for up to two years of supervisory experience.
  • Preferred:
    • Experience in academic business operations, budgeting, inventory management, and recruitment, particularly for faculty and research staff.

  • Must pass a pre-employment skills test.
