Leigh Orthopedic Surgery Center is offering an excellent opportunity for a Healthcare Executive Assistant to join the team at our state-of-the-art Ambulatory Surgery Center in the Virginia Beach/Norfolk area.
As a Healthcare Executive Assistant, you will work closely with executives and other upper-level management teams. You will be responsible for providing support to managers, other employees, and surgery center visitors by handling a variety of tasks in order to ensure the center runs smoothly and efficiently.
Responsibilities include but are not limited to:
- Document management: Sort documents and records, prepare reports, and analyze and prepare correspondence
- Prepare routine reports, both operational and financial
- Information management: Research information, handle information requests, and protect confidential information
- Billing and human resources: Assist with billing and human resource function, including surgeon dictation tracking, implant records, and operative report notes documentation.
- Opens, sorts, distributes mail to senior management.
- Updates and distributes phone lists, annual registration and licensing obligations, block time availability and various other operational requirements.
- Screen phone calls and office visits, answer phones, and take messages
- Calendar management: Manage the calendars of executives, including scheduling meetings, anticipating preparations, and keeping executives informed of upcoming commitments
- Meeting coordination: Arrange and coordinate meetings, prepare agenda packets, and attend meetings to take minutes
- Supply management: Order office and patient nutrition supplies and manage supply inventory
- Event planning: Plan and execute events, including employee appreciation events, catered lunches and employee gift arrangements
Qualifications
- HS Diploma/GED required; Bachelors in Business or Healthcare Administration preferred.
- Prior experience as an Executive or Admin Assistant required; experience in a healthcare environment is strongly preferred.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) required.
- Excellent verbal and written communication skills with high attention to detail required.
- Must be able to handle multiple projects simultaneously and set priorities.
- Ability to work effectively with staff, patients, surgeons and external agencies.
