IU Hospitality sales team offers a dynamic, exciting work environment in support of on-campus and off-campus events including weddings and fine dining, private parties and events, and casual meetings and gatherings.

The 189 room IU Hotel and Biddle Conference Center hosts families, alumni, reunions, IU Visitors and VIPs, as well a large conference groups and visiting sports teams, each with their own unique needs.

Job Summary

Department-Specific Responsibilities

• Inputs and retrieves contracts, details, and related client data into hotel and catering sales databases. Works with external and internal clients to schedule event space, and plan catering events.
• Initial intake of general inquiries from customers regarding hotel and catering needs and connects the client with the sales specialist for follow up.
• Creates Banquet Event Orders (BEO's) with menus, pricing, and established timelines.
• Books meetings rooms, hotel rooms, and venues, audiovisual and vendors.
• Occasionally Works onsite at external events supporting catering operations.
• Orders and inventories of Sales Collateral, receiving samples, and returning materials
• Meets with external clients to detail and outline special events.
• Participates in day of event execution with the client and catering staff.
• Helps arrange and conduct site visits for prospective clients.

General Responsibilities

• Under close supervision, performs routine administrative tasks related to hotel and catering sales processes.
• Responds to customer inquiries and may assist with providing quotes, terms and conditions, and drafting contracts.
• Distributes bills and contracts, processes payments, and distributes funds to appropriate accounts.
• Processes documents into the appropriate university database and verifies that information is correct.
• Prepares reports of hotel and sales figures.
• Regularly conveys various product / service to potential customers and answers basic questions about policies and procedures.
• Answers phones and assists customers with requests.

Qualifications

EDUCATION

Required

High school diploma or equivalent (such as HSED or GED)

WORK EXPERIENCE

Preferred

Some experience in relevant field

SKILLS

Required

• Proficient written and verbal communication skills
• Maintains a high degree of professionalism
• Demonstrated time management and priority setting skills
• Demonstrates a high commitment to quality

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment.

The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to lift / carry up to 15 pounds.

The person in this role must be able to perform the essential functions with or without an accommodation.

Advertised Salary

$15.00 per hour

Work Hours

Monday - Friday, with occasional weekends.

Management reserves the right to adjust work hours to accommodate special meals and events.
