Salary Range: Please note the typical Hiring Range is $28.00 - 29.50 per hour. Job offers within the range are based on relevant job qualifications and pay equity. 

The Clinic Manager contributes to the Calling of Medical Teams International through supervision and management of the day-to-day operations of a mobile healthcare clinic. This position includes clinic and administrative functions, driving and supply procurement, as well as planning and close out functions for running a successful mobile clinic office. The Clinic Manager supports volunteer, dental, and medical providers who do direct healthcare services, liaises with clinic sites and their staff, and collaborates with USP support services for back-office functions.

Parallel to technical competence, recruitment & selection, hiring decisions will give due emphasis to assessing candidates’ eligibility thorough background checks, police clearance, and professional reference check processes.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Manage and direct the daily operations of an assigned Mobile Clinic, including patient treatment.
  • Maintain quality assurance standards and comply with applicable infection control, HIPAA, WSHA, and OSHA regulations.
  • Maintain accurate records for daily clinic operations, appropriate and accurate treatment coding, and patient demographic data.
  • Maintain and ensure on-board inventory of dental supplies, instruments, infection control and housekeeping.
  • Drive the Mobile Clinic Van to clinic sites and assist in moving and transporting vans to regional locations as needed.
  • Assist in managing operational budgets for the program.
  • Provide surge capacity at remote locations when needed.
  • Maintain, troubleshoot, and perform simple repairs to the Mobile Dental van and on-board dental equipment and supplies.
  • Perform daily pre and post drive checks and ensure maintenance schedules as indicated by fleet app
  • Working with the Program Manager and Program Support Officer (PSO), support the recruitment of volunteer dentists, hygienists, and assistants as well as clinic partners to meet program objectives.
  • Create an environment where volunteers have a positive and rewarding experience.
  • Maintain a working knowledge of current dental and medical needs of the populations served.
  • Create an environment where patients feel respected and are cared for with dignity.
  • Represent the Mobile Healthcare program and Medical Teams occasionally in speaking engagements, media interviews, professional functions and Medical Teams events, as requested.
  • Always provide a positive representation of Medical Teams.
  • Be available for occasional meetings and functions outside of normal working hours.
  • In collaboration with your department, work towards the implementation of Medical Teams’ current strategic plan and the accomplishment of the related strategic and aspirational goals.
  • Review patient care protocols and procedures and participate in evaluating volunteer provider performance.
  • Manage use of administrative and clinical resources and order new supplies as needed; ensure mobile clinics are clean and well stocked.
  • Ensure Medical Teams’ tracking platforms are used and completed on time and as required (CRM, Paycom, Certify for expenses).
  • Work with the volunteer service providers and clinic partners to find the most effective way of executing the daily duties and operation of the clinic.
  • Refer patients for additionally needed services to clinics, labs, community organizations or hospitals as needed.
  • Maintain complete confidentiality regarding medical records and personal information.
  • Attending team meetings.
  • Support safeguarding of program participants and employees through promoting an environment of awareness and upholding the code of conduct provisions of Medical Teams Protection from Sexual Exploitation & Abuse, Child & Vulnerable Adult protection, and harassment-free workplace policies.

Other Duties:

  • Utilize volunteers when appropriate.
  • Additional duties as assigned.

Qualifications


EDUCATION, LICENSES, & CERTIFICATIONS

Required:

  • Bachelor’s degree in a relevant healthcare field, or an Associate or Technical degree in a related fieldand equivalent experience year for year.
  • Valid driver license.
  • Up to date on vaccinations and boosters per CDC healthcare worker requirements.
  • Is willing to learn dental specific care (dental terminology, oral hygiene, etc.).

Preferred:

  • Master’s degree or other certifications in relevant field, as required by state law, to provide direct patient care.
  • Certifications for x-ray, dental, or medical assistance, as required by state law, to provide direct patient care.

EXPERIENCE

Preferred:

  • Dental or medical experience.
  • Minimum 3 years’ experience in a clinical setting or a medical office.
  • Experience managing people, clinic office or programs
  • Minimum 3 years’ managing front and back-end operations in a dental or medical setting.
  • Minimum 2- years’ experience in a clinical setting or a medical office.

KNOWLEDGE, SKILLS & ABILITIES

  • Tenacious problem solver and able to work creatively in challenging circumstances.
  • Excellent communication skills, oral and written, in English, preference for bilingual candidates.
  • Must have exceptional people skills, management skills, ability to work with volunteer providers, patients and staff, and mediate between them, and advocate for patients.
  • Ability to drive, or learn to drive, a 20 ft and 40ft mobile clinic van, depending on Program needs.
  • Must be comfortable in a paperless office and with digital systems.
  • Demonstrated ability to be accountable and deliver results with little direction in a dynamic and often ambiguous environment.
  • Ability to work collaboratively with others.
  • Must be hospitable and comfortable providing excellent service and care to a diverse patient community.
  • Ability to be comfortable interacting with the general public and volunteer service providers and able to develop good working relationships with staff.
  • Ability and willingness to travel to remote location as surge capacity up to 40% of the time.
  • Ability to be away from home for several nights in a row when at remote locations.
  • Knowledge of dental and some medical and nursing practices.
  • Familiarity with administrative policies in dental and medical offices.
  • Familiarity with the local healthcare safety net system.
  • Detail oriented and able to multitask.
  • Ability to work collaboratively with others.
  • Familiarity with HIPPA policies, Medicaid, and applicable medical regulations.
  • Experience and moderately skilled with computer systems and platforms, including databases, online calendars, spreadsheets, electronic health record systems, SharePoint, Teams and Microsoft Office.
  • Working knowledge of dental tools and products and/or medical supplies and equipment to facilitate the operations of a clinic, or the willingness to learn.
